JOB TITLE: Supervisor, Medical Assistant

FUNCTION: Field Operations

REPORT TO (TITLE): Operations Manager

FLSA STATUS:  Non-Exempt

JOB PURPOSE AND SUMMARY:

The Medical Assistant Supervisor will act as a leader for day-to-day supervision and guidance for the team of Medical Assistants. In this role, you will have the opportunity to work in multiple clinics, gaining experience and exposure to a wide range of functions.

ESSENTIAL DUTIES AND RESPONSBILITIES:

  • Live and exemplify TOI core values, providing outstanding customer service and promoting a positive experience for patients and staff members.
  • Monitor Medical Assistant productivity  
  • Provide training to staff and new hires  
  • Audit charting Assist Clinic Manager with creating protocols  
  • Participate in mandatory staff meetings as needed.  
  • Assist with inventory organization and stocking of exam rooms and labs.  
  • Promote TOI’s culture of exceptional behavioral standards for customer service.  
  • Maintain and protect confidentiality and security of all organizational information gained while performing job responsibilities including but not limited to, financial and client information.  
  • Conduct in person Weekly Check-ins: maintain regular check-ins with team members to gauge morale, provide guidance, and address needs proactively.
  • Recruitment and Hiring: Lead the hiring process for new MAs, including conducting interviews and partner with Operations Manager in finalizing hiring decisions.
  • Onboarding and Training: Develop training materials and oversee onboarding for new hires, ensuring a comprehensive understanding of clinic workflows, procedures, and expectations.
  • Work in conjunction with Director of Ops and OM on maintaining P&P manual.
  • Coaching and Performance Management: lead coaching sessions, issue corrective actions, and implement performance improvement plans to address skills gaps.
  • Training and development: conduct regular training sessions to update staff on changes in clinic procedures, service standards, and communication protocols.
  • Leadership communication: Serve as a key communication link between Mas and leadership, updating on performance and challenges.
  • Clinic Program Support: Work closely with OCM and MIIPS program leadership to ensure full support and engagement from Clinic Mas.
  • Supervision of MA Supervisors: Guide and mentor MA supervisors to ensure departmental goals are achieved and policies are followed.
  • Quarterly & Annual evaluations: Work with OM on quarterly/annual performance reviews to evaluate each team member’s effectiveness, adherence to procedures, and support in daily operations. Provide constructive feedback and help them achieve professional growth.
  • Coordination of In-services: Schedule and lead in-service training to reinforce procedures and introduce new protocols.
  • Coverage support: Provide hands-on coverage for Medical Assistants during absences, high patient volumes, or other staffing needs, ensuring continuity of care and service quality.
  • In-Person Audits: Conduct regular in-person audits at clinic locations to monitor compliance, patient flow, and adherence to protocols, providing immediate feedback and recommendations for improvements as needed.
  • Travel Requirement: Allocate 25% of working hours per month to travel between clinic sites, ensuring on-the-ground support and consistent engagement with clinic staff.
  • Other duties as assigned.  

Supervisor Responsibilities:

  • Oversight of Multiple Locations: Supervise MA’s across various locations, ensuring they complete their responsibilities effectively and support MAs on the floor.
  • Hand-On Support: Provide backup support to the MA team as needed, performing all tasks associated with the MA role when necessary.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong communication and interpersonal skills.
  • Bilingual (Spanish)  

REQUIRED EXPERIENCE, EDUCATION AND/OR TRAINING:

  • High school graduate or GED  
  • Medical Assistant Certificate  
  • Supervisor experience  

 

PHYSICAL WORKING REQUIREMENTS:

The position involves prolonged periods of sitting at a desk, extensive computer use, and phone interaction. Additionally, the role may require occasional lifting of up to 20 pounds for office supplies or equipment.
