Role Overview

The Operations Project Manager will partner directly with Theoria’s executive team to lead the implementation, optimization, and ongoing operational ownership of key enterprise systems. This role will serve as the operational expert and primary point of accountability for Greenhouse (Recruiting), PayCom (Provider Staffing & Shift Management), and Salesforce (Facility Sales & Operations CRM), while producing executive-level reporting that drives decision-making across the organization. 

This is a highly cross-functional role requiring strong systems thinking, operational judgment, and the ability to translate complex data into clear executive insights.

Key Responsibilities

Systems Ownership & Implementation

  •    Serve as the operations lead and subject-matter expert for:

o   Greenhouse (recruiting pipeline, hiring velocity, time-to-fill)

o   PayCom (provider scheduling, staffing, shifts, utilization)

o   Salesforce (facility sales pipeline, provider assignment, operational tracking)

  •      Lead system implementations, enhancements, and workflow design in partnership with HR, Recruiting, Sales, Operations, and IT
  •      Ensure systems are configured to support operational reality, not just technical requirements
  •   Drive adoption, process standardization, and user accountability across teams

 

Executive Reporting & Analytics

  •  Own the definition, integrity, and delivery of executive-level operational reporting
  •    Build and maintain dashboards and recurring reports related to:

o   Provider productivity and staffing coverage

o   Recruiting performance and pipeline health

o   Facility onboarding, sales, and operational status

  • Act as the arbiter of “source of truth” metrics across systems
  •  Translate raw data into clear narratives and insights for the executive team and board


Cross-Functional Program Management

  • Manage multiple concurrent initiatives across recruiting, operations, sales, and technology
  • Coordinate timelines, dependencies, and deliverables across teams
  • Identify operational risks, data gaps, and process breakdowns early—and drive resolution
  • Support executives by preparing materials, analyses, and recommendations for key decisions

 

Continuous Improvement

  • Identify opportunities to streamline workflows, reduce manual reporting, and improve data quality
  • Partner with technology and data teams on integrations, automation, and system enhancements
  • Help scale operational infrastructure to support continued growth

 

Qualifications

  • 3-5+ years of experience in operations, program management, or systems implementation
  • Strong experience owning or implementing enterprise systems (HRIS, CRM, workforce management, or similar)
  • Demonstrated ability to work directly with executive leadership
  • High analytical aptitude with strong Excel / reporting / dashboard skills
  • Comfortable operating in ambiguity and building structure where none exists
  • Excellent communicator—able to translate between technical teams and executives
  •  Healthcare, services, or high-growth environment experience strongly preferred
