Role Purpose: 

The Administrative Operations & Travel Manager is responsible for managing and optimizing all travel, corporate card, and office administrative operations for PAC Group. This role serves as the central point of contact for corporate travel logistics, expense systems, vendor coordination, credit card administration, and office support services. 

The position ensures seamless employee travel experiences, compliance with company policies, operational efficiency, and effective management of office resources and administrative processes. 

Key Responsibilities: 

Travel Management & Coordination 

  • Serve as the primary administrator for all corporate travel programs and platforms, including Concur, Amex Travel, National/Enterprise, Uber for Business and related booking systems.
  • Coordinate end-to-end travel arrangements including flights, hotels, ground transportation, car rentals (National Enterprise and other approved vendors), and rideshare services (Uber).
  • Manage ICT ticket submissions and internal travel approval workflows.
  • Support international travel documentation including visas, invitation letters, travel insurance, and compliance documentation.
  • Maintain relationships with approved travel vendors and resolve booking or service issues proactively.
  • Ensure travel bookings align with corporate travel policies and budget guidelines.
  • Provide real-time support for travel changes, cancellations, and emergency travel needs. 

Corporate Credit Card & Expense Administration 

  • Administer corporate credit card programs (Amex and other providers), including new card issuance, renewals, limit adjustments, and cancellations.
  • Serve as liaison between employees and card providers to resolve disputes and account issues.
  • Support expense reporting, auditing, and compliance within Concur.
  • Monitor expense trends and assist with reporting as needed.
  • Provide training and guidance to employees on travel and expense policies. 

Logistics & Vendor Coordination 

  • Coordinate car rentals through National Enterprise and other PAC-approved providers.
  • Manage vendor accounts related to travel, transportation, and office operations.
  • Track and coordinate domestic and international shipments (FedEx and other carriers), ensuring proper documentation and on-time delivery. 

Technology & Equipment Coordination 

  • Manage employee laptop and equipment requests, tracking inventory and lifecycle.
  • Coordinate shipping, replacement, return, and asset tracking of hardware.
  • Oversee Verizon device management, including ordering, activation, troubleshooting, and cancellations. 

Financial & Compliance Support 

  • Facilitate corporate credit card issuance, renewals, and basic account assistance.
  • Support expense compliance and reimbursement inquiries within Concur.
  • Work with HRBPs regarding any compliance issues. 

Office Operations 

  • Maintain stock of office supplies and ensure timely replenishment.
  • Oversee kitchen supplies, cleanliness, and vendor restocking schedules.
  • Assist with general office organization, space needs, and facility coordination as required. 

General Administrative Support 

  • Assist with facility coordination, workspace organization, and administrative operations.
  • File annual company registrations, request status certificates as required.
  • Assist with annual commercial insurance renewal process.
  • Obtain necessary permissions/signatures for all PAC entities.
  • Maintain accurate records and logs related to travel, equipment, vendors, and compliance documentation.
  • Support special projects and administrative initiatives, as assigned.
  • Provide high-quality administrative support to managers and employees.
  • Serve as a trusted point of contact for operational and travel-related inquiries.
  • Support special projects and continuous improvement initiatives within administrative operations.
  • Lead and coordinate executive/client/internal meeting logistics, including guest accommodations and transportation if requested, meeting set up, meals, clean up.
  • Ensure confidentiality, accuracy, and professionalism in all processes. 

Required Qualifications: 

  • 2+ years of experience in administrative operations, travel coordination, office management, or related role.
  • Demonstrated experience managing corporate travel bookings and logistics.
  • Experience supporting corporate credit card administration and expense reporting.
  • Strong knowledge of Microsoft Office (Outlook, Excel, Word, Teams).
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Notary certification (or willingness to obtain). 

Preferred Qualifications: 

  • Advanced experience with Concur Travel & Expense systems.
  • Experience working with Amex Travel, corporate card platforms, and travel management vendors.
  • Familiarity with National Enterprise rental programs and rideshare coordination.
  • Experience supporting a distributed or global workforce.
  • Knowledge of corporate travel compliance and policy enforcement.
  • Proactive problem-solver with the ability to anticipate needs and improve processes.
  • Experience in the service and/or travel industry. 

The salary range for this position is dependent upon experience, education, and qualifications.

Pay Range

$90,000 - $90,000 USD
