
Intake & Community Relations Specialist
As the Intake & Community Relations Specialist, you will be responsible for overseeing the intake process to ensure that all new families experience a high-quality and seamless onboarding into services. This includes oversight of intake workflows, documentation accuracy, and coordination of insurance enrollment needs. You will work closely with the outreach team and cross-functional departments to ensure that all required documents are submitted, and all processes are followed in alignment with organizational standards and timelines.
You will also play a key role in driving community outreach efforts by managing the outreach calendar, initiating and maintaining communications with local chambers of commerce, coordinating sponsorship opportunities, and building collaborative relationships with organizations for community events. Your presence at events will ensure that our brand is consistently and professionally represented across all centers.

What You Will Do:
Intake Oversight & Family Onboarding
- Oversee the full intake journey to ensure families receive a high-quality, welcoming onboarding experience
- Conduct thorough documentation checks to ensure accuracy and completion of all required intake steps
- Coordinate with cross-functional teams, families, and insurance brokers to ensure timely and accurate completion of insurance enrollment requirements
- Monitor intake workflows and support outreach team members in maintaining compliance with established procedures and standards
- Identify and address process gaps to enhance the family experience and improve internal efficiency
Community Engagement & Outreach
- Maintain and manage a centralized calendar of outreach and community events across all centers
- Initiate and manage communications with local chambers of commerce, event organizers, and community partners
- Coordinate sponsorships, event collaborations, and brand visibility opportunities
- Attend outreach events to represent the organization and ensure consistent, professional brand presence
- Support planning and execution of community-based initiatives to increase awareness of services and strengthen relationships within the community
Brand & Mission Alignment
- Serve as a passionate representative of the organization’s mission, ensuring all outreach and intake experiences reflect our core values
- Champion the organization's brand across all outreach touchpoints
- Ensure events and onboarding experiences are inclusive, professional, and mission-driven
What will Set you Apart:
- Reliable transportation required
- Bilingual (Spanish speaking) strongly preferred
- Bachelor’s degree in communications, marketing, business, or a related field
- 1–3 years of experience in customer service, sales, or case coordination
- Experience with Salesforce or other CRM platforms strongly preferred
- Prior experience in planning and coordinating events or community outreach activities
- Outstanding written communication and presentation skills
- Strong experience in preparing reports and managing follow-up tasks
- Friendly, enthusiastic, and professional demeanor
- Familiarity with social media platforms and basic marketing tools
- Highly detail-oriented with strong organizational and multitasking abilities
- Proficient in Microsoft Office Suite, especially Outlook, Word, and Excel
