
Facilities Manager
We are seeking a highly skilled and strategic Facilities Manager to oversee the facilities and maintenance operations across multiple clinical sites. This position is responsible for the full lifecycle of service ticket management—from monitoring and prioritization through to resolution—by coordinating internal teams and deploying external vendors as needed. The ideal candidate will possess strong technical knowledge of building systems and infrastructure, paired with the ability to think strategically about resource allocation, vendor coordination, and operational effectiveness. This position is a full-time, exempt, hybrid role reporting directly to the Director of IT & Facilities.
What You Will Do:
- Service Desk Ticket Management: Monitor, triage, and prioritize incoming maintenance and facilities-related service tickets across all clinic locations. Assign and escalate tickets based on urgency, complexity, and operational impact. Track open tickets to ensure timely resolution and update stakeholders accordingly.
- Vendor Deployment & Resource Coordination: Engage and coordinate external vendors and contractors to complete facility maintenance and repair tasks. Ensure vendor compliance with safety, performance, and contractual standards.
- Strategic Oversight & Operational Planning: Develop and implement scheduling strategies for routine and emergency maintenance. Analyze work order data to identify trends and improve preventive maintenance programs. Allocate internal and external resources effectively to ensure consistent clinic operations with minimal downtime.
- Safety and Compliance: Champion safety initiatives, ensuring compliance with regulatory standards and best practices. Conduct safety audits and oversee the implementation of corrective measures to mitigate risks.
- Vendor and Lease Management: Serve as the primary contact for selecting, negotiating, and overseeing vendor relationships. Manage vendor relationships, including performance evaluation and cost management. Manage lease agreements and ensure the follow through of lease commitments. Maintain accurate records of lease terms, maintenance obligations, vendor contracts and renewals.
- Facility Expansion and Relocation: Support efforts in the setup and relocation of centers; including but not limited to assessing location suitability, coordinating with contractors, ensuring adherence to project timelines, and providing onsite support and direction throughout pre-opening activities.
- Technical Expertise: Maintain strong working knowledge of HVAC, electrical, plumbing, safety systems, and general building maintenance. Guide technical troubleshooting and provide oversight on complex maintenance tasks. Ensure compliance with regulatory, safety, and operational standards across all locations.
- Communication & Reporting: Collaborate with clinic-level supervisors and staff to provide status updates, gather feedback, and plan around clinic schedules. Communicate clearly and effectively across teams and management regarding ongoing issues, resolutions, and upcoming projects. Generate reports on service desk performance, vendor effectiveness, and facility health metrics.
- Emergency Response: Maintain readiness for emergency situations with a comprehensive response plan. Available for on-call duties, including nights and weekends, as required.
What will Set you Apart:
- Education: Bachelor’s degree in Facilities Management, Engineering, Operations, or related field or equivalent experience preferred
- Experience: 5+ years in a facilities or property or facilities management role, preferably in healthcare or multi-site operations.
- Technical Skills: Proficient in building systems, preventive maintenance strategies, and vendor oversight.
- Tools: Experience using service desk platforms and MS Office (Outlook, Word, Excel).
- Soft Skills: Strong organizational and time management skills; excellent written and verbal communication capable of engaging with diverse stakeholders from a customer focused perspective.
- Valid Driver's License: Must possess a valid driver’s license.
- Motor Vehicle Check: Must pass a motor vehicle check, confirming the ability to travel to various locations as needed for site visits, emergency response, and project oversight.
