We’re looking for a People Coordinator who will play a crucial part in supporting Human Resources ensuring the smooth coordination of all things people-related. YOU WILL BE RESPONSIBLE FOR…


Talent & Onboarding
•Assist in posting on job boards and social media to spread the word about joining VitaCoco!
•Screening CVs and applications to find the best candidates.
•Conduct reference checks and background screenings as needed.
•Coordinate interview schedules and communicate with candidates throughout therecruitment process ensuring a positive experience from application to onboarding.
•Welcome new recruits and guide them through introductions to our people, companypolicies, culture, and procedures.
•Liaise with IT and cross-functional teams to ensure recruits have access to necessaryresources.
•Manage onboarding, including preparing contracts, paperwork, and welcome bags.

HR Coordination
•Maintain accurate employee records in our HRIS and across other platforms such asCulture Amp and Thrive.
•Prepare HR-related documents, involving references, probation letters, andperformance evaluation documents.
•Assist with benefits administration tasks, including the set-up of new and exciting perks.
•Support with the launch of the annual Engagement Surveys and ad-hoc Pulse Surveys
•Lead by example in fostering a culture of inclusivity and celebration of diversity throughengagement initiatives.
Compliance
•Assist in ensuring compliance with local employment laws and regulations across EMEA.
•Conduct thorough DSE, and risk assessments and organise yearly H&S training touphold workplace safety standards.
•Stay up to date on changes in employment legislation and support with implementingnecessary policy updates.
•Champion HR initiatives that promote diversity,

Hub Management
•Support with office relocations and expansions.
•Oversee the weekly procurement for office supplies and pantry, with an eco-friendlyapproach and supporting fellow B Corps.
•Collaborate on events and initiatives to enhance the office environment, drivingimprovements that elevate employee well-being and productivity.
•Work closely with contractors and the landlord to facilitate repairs ensuring the office,and building are in good order.

Fleet Support
•Coordinate vehicle maintenance and servicing schedules to ensure compliance withsafety regulations and minimize operational downtime.
•Maintaining precise and comprehensive records of vehicle inspections and servicehistory.
•Monitoring and tracking driver conduct and raising issues to the People & CultureDirector.
•Tracking fleet expenses while adhering to budget limitations.

The job description is not exhaustive, and the post holder will be required to undertake other duties in line with their ability and the changing needs of the business.

PREFERRED KNOWLEDGE, SKILLS & EXPERIENCE:
•At least 2 years of success in a HR Admin role
•CIPD or equivalent qualification is a plus but not essential
•Excellent communication and strong interpersonal skills
•Good at solving problems and pays close attention to the details
•Can handle a fast-paced environment and go with the flow when priorities shift
•Power user of MS 365 Suite
•And of course, a passion for people and all things coconuts!
