The Role
This Executive Assistant/Office Manager role will provide high-level support to the Chief Scientific Officer and Chief Nonclinical Development Officer as well as manage the day-to-day office operations. The successful candidate will be highly collaborative, motivated, self-directed and represent the Company in a professional manner displaying tact, diplomacy, discretion, positivity and good judgment. The incumbent must also possess excellent communication and organizational skills, a high attention to detail and quality, as well as strong initiative and execution. This role will report to our Chief Administrative Officer.
Responsibilities
- Overseeing the office management of our Cambridge location, everything from badging systems, office furniture ordering and updates as needed, kitchen management – food, beverage and regular team lunches
- Lead project management of Cambridge office activities both social and community in coordination with the San Francisco office manager
- Overall facilitate an in-office vibe consistent with THRD culture
- Managing and helping to coordinate meetings with Management Team, staff, and external parties on behalf of CSO and CNDO
- Managing complex calendars for busy people doing interesting work. This requires interaction with both internal and external executives and assistants, as well as consultants, vendors, and other institutions, including proactive reminders of appointments
- Arranging meeting logistics across multiple time zones.
- Travel Planning, managing expense reporting for the CSO, CNDO and their team members as needed and appropriate to ensure we follow company policies
- Ensuring that our Cambridge location is running smoothly – handling small details including kitchen supplies, badging, etc.
- Assisting in generation and proof-reading of Power Point Presentations
- Cover for other members of the administrative team when needed
- Take on small projects as needed in support of the enterprise
Minimum Qualifications
- Handle confidential information and communication appropriately
- Able to work independently and collaboratively on a team
- Be a problem solver; identify proactive solutions to work and issues
- Meticulous attention to detail and ability to manage multiple tasks
- Advanced knowledge of PowerPoint, Excel, Word, and Outlook, possessing superior calendaring skills
- Be willing to come into the office whenever necessary even within the hybrid office model (Monday-Friday); willingness to be in the office regularly
- Previous experience working with C-level executives
- Experience in Life Sciences
- A minimum of 5 years as an Executive Assistant or Senior Administrative Assistant
The approximate salary range for this role is $100,000-$115,000.
