Medical Assistant - Front & Back Office

Pasadena, California, United States

About Tia

Tia is building a new model for women’s healthcare, one that treats women as whole people, not separate conditions or life stages. By integrating primary care, gynecology, mental health, dermatology, and wellness across both in-person and virtual settings, Tia is improving outcomes, lowering costs, and creating a better experience for patients and providers alike.

About the Role

We are looking for a highly organized, energetic Medical Assistant to serve as the heartbeat of our Pasadena clinic. This is a dynamic, fast-paced role that requires you to work in a dual capacity: managing high-volume clinical back-office duties (including phlebotomy) while seamlessly jumping in to support front-desk administration and clinic flow.

If you thrive in bustling outpatient environments (like urgent care, primary care, or busy women's health clinics) and love being the go-to person who keeps the schedule running on time, this role is for you.

What You’ll Do

Clinical & Back-Office (70%)

  • Patient Flow: Room patients efficiently, collect relevant health information, take vitals, and accurately document in the electronic medical record.

  • Phlebotomy & Procedures: Perform phlebotomy and specimen collection confidently while following Tia’s clinical guidelines and safety standards.

  • Provider Support: Help providers prep for visits by reviewing upcoming schedules, capturing relevant patient context, and flagging concerns.

  • Clinic Readiness: Prepare, clean, disinfect, and restock exam rooms throughout the day. Manage supplies, perform expiration checks, and handle autoclaving.

  • Order Management: Support lab and imaging workflows, enter orders, confirm diagnosis codes, and ensure follow-up items are completed on time.

Administrative & Front-Office (30%)

  • Front Desk Support: Step in to assist with checking patients in/out, scheduling, answering phones, and managing the waiting room during peak times.

  • Clinic Coordination: Monitor the daily schedule, move patients smoothly from the front of the house to the back of the house, and partner with the care team to prevent bottlenecks.

  • Patient Experience: Ensure every patient feels seen, heard, and cared for, acting with empathy, professionalism, and discretion at all times.

What You’ll Bring

Requirements:

  • Credentials: Medical Assistant certification (or completion of an MA training program) as required by state guidelines.

  • Core Experience: 1+ years of MA experience in a fast-paced, high-volume outpatient setting (urgent care, primary care, or women’s health heavily preferred).

  • Clinical Skills: Proven experience with phlebotomy, taking/documenting vitals, and standard clinical rooming procedures.

  • Dual-Role Readiness: Highly organized and calm under pressure, with the proven ability to juggle multiple priorities across both front and back-office duties.

  • Tech Savvy: Comfort using electronic medical record (EMR) systems and clinical documentation tools.

  • Understanding of HIPAA and patient confidentiality requirements.

Preferred Qualifications:

  • Experience in women’s health, gynecology, or dermatology.

  • Experience with DrChrono, TiaMD, or similar EMR systems.

  • Experience with autoclaving, disinfecting, and clinical inventory workflows.

  • Experience supporting LGBTQ+ patients or patients from diverse backgrounds.

Work Location

This role is based onsite in Pasadena.

Consistent Weekly Schedule:

  • Standard Shifts: Monday – Friday, 8:30 a.m. – 5:00 p.m.

  • Evening Shift: One required shift per week from 10:30 a.m. – 7:00 p.m.

  • Weekend Shift: Rotating Saturdays from 7:30 a.m. – 4:00 p.m.
