Job Summary
We are seeking a highly organized, resourceful, and proactive Executive Assistant to provide high-level administrative and operational support to both our Chief Revenue Officer (CRO) and Chief Operating and Financial Officer (COFO). This role requires exceptional judgment, the ability to manage sensitive information, and the agility to pivot quickly in a fast-paced, high-growth environment. The right candidate will be a strategic partner helping to anticipate needs, streamline operations, and ensure our executive leaders can focus on driving growth and operational excellence.
What you will be doing:
- Executive Support
- Manage complex calendars, schedule internal and external meetings, and coordinate across time zones.
- Take meeting notes as requested, follow up on action items, and ensure deadlines are met across multiple priorities.
- Handle confidential information with discretion and professionalism.
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
- Collect receipts and invoices and prepare expense reports on Navan.
- Communication & Liaison
- Serve as the point of contact between executives and internal/external stakeholders.
- Draft, edit, and proofread executive communications.
- Ensure timely, accurate dissemination of information such as agendas, documents, and presentation materials to relevant parties.
- Travel & Event Management
- Coordinate complex domestic and international travel and travel-related activities, including flights, hotels, transportation, meetings and meals.
- Plan and provide on-site support for team & department off-sites, board meetings, incentive trips and client events.
What you bring with you:
- 3+ years of experience as an Executive Assistant supporting C-suite executives, ideally in a technology, SaaS, or automation-focused company.
- Proven ability to thrive in a fast-paced, high-growth environment.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication abilities.
- High level of discretion and professionalism.
- Proficiency in digital workplace and collaboration platforms such as Google Workspace, Notion and Slack.
- Ability to interpret and understand financial reports, sales metrics, and operational dashboards is a plus.
Target Annual Compensation: $95,000 - $115,000 salary + equity
