Financial and Contracts Administrator

As the Financial and Contracts Administrator, you’ll work closely with our Director of Corporate Finance and broader finance team to ensure that contract tracking, billing, and administrative processes run smoothly. This role plays a critical part in supporting day-to-day financial operations that keep our business running. You’ll also be a key point of contact for time tracking support and will collaborate across departments to ensure data is accurate, up to date, and aligned with contract requirements.

What you’ll do

  • Support Contract Administration - Set up new contracts in internal systems and maintain accurate tracking throughout their lifecycle. Coordinate with account managers on contract renewals and ensure timely submission of quarterly government reports. Maintain electronic filing and backup documentation related to contracts and assist with tracking key deliverables and compliance deadlines as needed.

  • Manage Billing and Financial Reporting - Process invoices for both Tiree and joint ventures with accuracy and attention to detail. Support payroll by reviewing and processing employee expense claims. Enter and manage billing data across project platforms and produce monthly joint venture reports while ensuring proper file maintenance.

  • Oversee Timesheet Administration – Train new personnel on timesheet systems and provide ongoing support to remote and onsite users. Monitor submissions, reconcile third-party timesheet data, and follow up on corrections or missing entries to ensure payroll accuracy.

  • Provide General Finance Support – Assist finance team members with ad hoc or specialized tasks and act as a backup for accounts receivable and payable. Collaborate with internal departments, maintain digital filing systems, and contribute to the smooth day-to-day functioning of financial operations.

What you’ll bring

  • 3-5 years of previous work experience in financial administration.
  • Strong attention to detail and familiarity with procurement workflows.
  • Excellent organizational skills with a proactive approach to task and deadline tracking.
  • Clear, confident communicator who can engage effectively with business development, finance, and operations teams.
  • Sense of urgency and accountability—responsive, reliable, and able to manage time-sensitive priorities.
  • Proficiency with Adobe software, including the ability to manage PDF formatting and document troubleshooting.
  • Experience in a professional services or project-based environment is considered an asset.
  • Proficiency in French is considered an asset.
  • Ability to obtain and maintain a Government of Canada Enhanced Reliability security clearance.
