Position Overview
We’re hiring a Rental Account Assistant to support the day-to-day operations of our rental property management division. In this role, you’ll be the first point of contact for prospective tenants and a key liaison throughout the leasing process. You’ll assist with everything from application processing and lease preparation to scheduling inspections and maintaining accurate records. If you're highly organized, detail-oriented, and thrive in a fast-paced environment where no two days are the same, this is the role for you.
What will I do?
- Respond to incoming tenant and prospect calls, emails, and online inquiries
- Process new rental applications (verify completeness, run screenings, initiate employment and landlord verifications)
- Schedule and follow up on property showings and inspections (45-day, 6-month, move-out, and preservation)
- Draft and upload lease agreements, organize files, document communications, and ensure compliance with HOA or code requirements
- Assist with preparing and sending lease renewal offers for upcoming leases (90-day notice)
- Monitor move-in and move-out timelines and coordinate utility transfers
- Update property listings and marketing platforms to reflect current availability
- Track lawncare needs, vendor coordination, and rent-ready checklists
- Enter housing assistance payments (e.g., MDHA, Section 8) and initiate security deposit refunds
- Conduct monthly audits of tenant accounts to ensure rent and charges are accurately posted
- Follow up with prospects after showings and communicate application status updates
- Support leadership with monthly leasing performance reporting and data tracking
What do I have to have?
- 3-5 years of experience in property management, leasing, or administrative support (real estate preferred)
- Experience using property management software (AppFolio)
- Familiarity with Fair Housing laws and basic leasing procedures
- Excellent written and verbal communication skills
- Strong organizational skills with high attention to detail
- Ability to manage multiple tasks, deadlines, and communications simultaneously
- Proficiency with Microsoft Office and Google Workspace
- A positive, can-do attitude and a desire to grow with the company
