About the job
We are seeking an experienced Executive Assistant with 2+ years of experience supporting high level executives. The ideal candidate will be proactive, highly organized and capable of managing complex schedules and administrative tasks. This role requires strong interpersonal skills, attention to detail and the ability to handle confidential information with discretion.
Tomo is looking for an Executive Assistant who thrives in a fast-paced, dynamic work environment to provide exemplary support for our CEO, Greg Schwartz, located in New York City. This highly visible and professional position requires diligent attention to detail, impeccable time management skills, and an ability to multitask.

What You’ll Do
- Manage and maintain executive schedules, coordinate internal and external meetings, arrange calls, dinners, events, travel, etc.
- Coordinate and manage projects and follow-up on action items
- Assist with/own preparation and production of write-ups, agendas and materials, specifically slide decks in Google Slides
- Work with other Tomo Team Leaders on projects related to events, office functions, offsite meetings, etc.
- Support in customer escalation process, ensuring 5 star experience for all Tomo customers
- Participate in the Tomo "fun committee” to ensure we find opportunities to drive fun and unity in our multi location culture
- Become familiar with mortgage operations processes with internal training support
Who You Are:
- 4+ years of experience supporting leaders and/or high level executives.
- Extremely comfortable and interested in tech solutions. Uses AI regularly to improve upon day to day work/life.
- Proficient in Google Workspace.
- Someone with high integrity who can maintain complete confidentiality on all business matters.
- Able to remain cool under pressure.
- Forward thinking, able to anticipate needs well in advance.
- Able to communicate clearly and concisely, both verbally and in writing.
- Detail-oriented with strong organizational and time-management skills.
- Comfortable working in a fast-paced, hyper-growth environment.
- An interest in becoming familiar with mortgage processes - don’t worry, we’ll train you.
- Willing to work from the NYC office Monday-Wednesday.
- Willing to travel up to 10%.
