Marketing Operations Specialist

Toshiba Global Commerce Solutions is seeking a Marketing Operations Specialist. This individual leads the marketing operations function in a B2B organization. The marketing operations function is responsible for centralizing the management of technology, business process, data, and marketing analytics, while tracking and reporting as necessary to the rest of the business. 

Specific key areas of responsibility include MarTech assessment and coordination across the department, process definition and improvements, Budget & Forecasting, owning strategy review cycles for Marketing Planning, coordinating annual Net Promoter Score surveys, and acting as the vendor management / procurement liaison.

In this role, the Specialist:

  • Provides dependable advice and consultation to the CMO/VP, leveraging marketing performance data.
  • In conjunction with the CMO/VP, collaborates with marketing leaders to achieve alignment with the corporate strategy and business objectives.
  • Orchestrates the annual marketing planning process (e.g., milestones, participants, actions, templates, calendar), ensuring marketing’s goals are aligned with sales, product, and customer engagement objectives.
  • Ensures impact-level marketing measurement and executive reporting on marketing’s contribution to the business overall, in close collaboration with other marketing team leaders.
  • Coordinates the budget strategy and manages the budget allocation, monthly forecast submissions, and reconciliation process.
  • Gathers and disseminates internal and external marketing best practices.
  • Participates in the development of organizational alignment, competency assessments, and skills development, as directed by the CMO/VP.
  • Delivers effective change management and communications for technology implementation, data policy, and process reengineering to and within the marketing organization.
  • Reports on data to key stakeholders within the department and organization, including the parent company.

AREAS OF EXPERTISE & SPECIAL SKILLS:

  • 8+ years of marketing experience, ideally in an operations role.
  • Bachelor’s degree in marketing, business, or a related field (or equivalent professional experience).
  • Proven ability to serve, collaborate with, and influence executive management.
  • Experience in insights-driven marketing strategy, planning, budget allocation, and organizational alignment.
  • Expertise in marketing measurement analysis and delivery, including global markets (if applicable), leveraging data from marketing, sales, finance, and other systems.
  • Familiarity with opportunity management process creation, delivery, and monitoring, particularly related to service-level agreements, is desirable.
  • Project management experience, including the rollout of applications to sales and marketing audiences, is desirable.
  • Ability to navigate culture and politics across multiple functions effectively.
  • Skilled at translating business objectives into marketing goals, measurements, and operational requirements.
  • Strong communication skills with the ability to adapt to audience needs.
  • Competence in translating quantitative data into actionable recommendations.
  • Experience in financial management and budget allocation.
  • Proficiency in project management.
  • Tableau user experience, including analyzing marketing data and creating dashboards.

  • Working knowledge of SQL or hands-on experience with any BI tool.

Responsibilities:

  • Strategy Planning, Coordination, and Execution

    • Own marketing strategy planning calendar and collaborate with teams to execute and communicate plans.
    • Coordinate and facilitate the execution of Net Promoter Score (NPS) surveys for the company, working with vendors and internal teams.
  • Marketing & Process Optimization

    • Assess and recommend skills, tools, and processes across the organization to drive improvements.
  • Budget & Forecast Management

    • Own annual, quarterly, and monthly submissions of marketing budgets, forecasts, and relevant financial information to key stakeholders.
  • Vendor Management / Procurement Liaison

    • Manage marketing interlocks with Procurement and major vendors to ensure timely setup of new vendors, efficient renewals, and the management of RFP processes.
  • Measure Success and Impact to Business

    • Collaborate with marketing teams to quantify the impact of marketing on brand, pipeline, and key metrics.
    • Report and establish dashboards to provide key stakeholders with visibility and support faster, better business decisions.
    • Coordinate and update KPIs along with other internal tracking of status, countermeasures, and related information.
  • Other Duties

    • Perform other related duties as assigned.

This leader ensures the overall value and impact of marketing is measured, understood, and communicated to key stakeholders, including:

  • Marketing Efficiency:

    • Timeliness of the planning cycle.
    • Delivery of the CMO dashboard.
    • Stakeholder value derived from dashboards.
  • Marketing Effectiveness:

    • Achievement of strategic/plan goals.
    • Budget-to-pipeline alignment.
    • Budget-to-revenue alignment.
    • Profit improvement.
    • Effective stakeholder interlock.
  • Other Measured Value Includes:

    • Streamlining, clarifying, and improving existing processes.
    • Timeliness and accuracy of forecasting.
    • Time to completion of vendor setup, renewals, and projects in collaboration with Procurement.

Requires extensive coordination and collaboration across marketing and the rest of the business.
