Position Overview:

The purpose of this role is to act as an onsite events resource, providing daily support to the firm with a focus on investment professional event needs in conjunction with the larger facilities management team.


Key Responsibilities:

•    Act as the main point of contact for all employees and affiliate organizations in supporting all on-site events within the NY office campus
•    Manage the full event lifecycle from initial request intake through planning, execution, day-of support, breakdown, and post-event follow-up
•    Work with end-users on defining, planning, and executing events of all sizes, ranging from Lunch & Learns to large after-hours cocktail hours to conferences
•    Maintain and monitor the NY events calendar, ensuring visibility into upcoming events, space usage, staffing needs, and potential scheduling conflicts
•    Support event communications, including confirmations, reminders, attendee instructions, and coordination with administrative teams or event hosts
•    Partner with remote and off-site assistants to support Senior Management and Portfolio Manager teams
•    Liaise with building and departmental contacts to fully coordinate all aspects of an event, including Catering, HVAC requirements, building loading dock access, and other operational needs
•    Partner with Catering, Hospitality, AV/IT, Security, Engineering, Facilities, Janitorial, and external vendors to ensure seamless event execution
•    Coordinate event room setups, floor plans, signage, guest registration, name badges, materials, and other event-related logistics
•    Conduct pre-event walkthroughs and post-event debriefs to identify risks, confirm readiness, and capture opportunities for service improvement
•    Attend events and ensure all are completed at the highest level of quality
•    Ensure events comply with firm policies, building procedures, security protocols, fire/life safety requirements, and guest access guidelines
•    Track event costs, submit purchase requests or invoices as needed, and support budget awareness for recurring and large-scale events
•    Maintain event supplies, equipment, and inventory, and proactively identify needs for replenishment or improvement
•    Build and maintain event playbooks, checklists, templates, and standard operating procedures to promote consistency across the NY office campus
•    Contribute to regular reporting, communication, and publishing of events
•    Capture event metrics and feedback to support reporting, service-level improvements, and planning for future events
•    Develop and maintain business relationships and interact with a variety of high-profile individuals and all levels of management
•    Provide occasional early morning, evening, or after-hours support for events as business needs require
•    Perform special projects related to investment professional and facilities support as needed


Required Qualifications:

•    Bachelor’s degree
•    2-5 years related experience
•    Ability to exercise sound judgment in assessing and determining how to handle time sensitive matters
•    Ability to be resourceful and proactive when planning events
•    Detail oriented and ability to adapt quickly in fast-paced environment
•    Multitasking and time-management skills with the ability to prioritize tasks
•    Extremely professional demeanor and positive attitude
•    Ability to work independently

•    Strong organizational, communication, and interpersonal skills
•    Proficient knowledge of Microsoft Outlook, Excel, and Word
