Events Production Assistant

Deerfield, MA

The Seasonal Events Production Assistant reports to the Senior Events Manager and is responsible for day-of event support to ensure the flawless execution of events and experiences across Tree House properties.  This position requires exceptional communication skills, the ability to work calmly under pressure, creative problem-solving, effective multitasking, and (most importantly) a passion for doing whatever it takes to make an event successful.

This position is Seasonal during the summer months and will primarily report into our Deerfield, MA location, will need to be able to travel offsite for event-related tasks and there is occasional potential travel to other Tree House locations.

As an Events Production Assistant, you will be responsible for working one or more of the following roles on the day of the event: 

  • Event Ticketing:
    • Working with the retail staff as well as third party ticket vendors to organize and manage the ticketing and guest list check-in process
    • Work cross departmentally to ensure that the front of house is set up with proper signage, security, safety requirements, and ticketing scanners for a seamless entry process for event attendees
  • Artist Hospitality:
    • Catering to the artist’’s rider and hospitality needs overall throughout the day, including but not limited to pre-event shopping, green room management, vehicle runner/driver to band members
    • Works with Retail Taproom Manager(s) to ensure merchandise staff is set up and run smoothly including WiFi setup, Inventory and securing of Merch SKUs, and managing the band’s guestlist with ticketing
  • Parking and Traffic Liaison:
    • Works with the events department to be the main point of contact for parking lessor and parking staff to ensure a seamless flow of communication and execution for our off site parking and shuttle experience.
    • Works with Shuttle bus third party to ensure we have adequate number of shuttles to ensure a timely arrival and departure to and from the venue.
    • Communicates to our guests the do's and don'ts of the venue before arrival.
    • Works with Security and Local Police details and traffic and spectator flow communication.
  • General Event Operations
    • Responsible for the over all event operations needs, work with tent, food truck, fence, restroom, janitorial, security and EMS providers to ensure all communications and event plans are fulfilled in a timely and orderly manner 
    • Works with the Technical Manager to ensure musical acts are tended to and loaded and unloaded in a safe and timely manner. Works with stagehands, equipment operators and truck drivers when necessary to ensure a safe working environment  
    • Prepares the event grounds prior to and post event - moving chairs, tables, and ensuring overall grounds are prepped correctly for the event

Position Requirements: 

  • Experience in both small and large scale events ranging from private functions to large public functions is strongly preferred
  • Ability to work early, long hours with flexibility and the ability to work beyond normal working hours, on weekends and holidays, and in other positions temporarily, when necessary to ensure successful event set up, execution, and break down 
  • Must be at least 18 years of age
  • Exceptional communication skills- including the ability to be both thoughtful and succinct in communicating and an active listener
  • You are self-motivated and able to work autonomously, with a focused and hard working attitude
  • A quick learner who is able to work with minimal or no supervision
  • Ability to multitask and work lucidly in a time sensitive environment
  • Exceptional troubleshooting skills and common sense with the ability to pivot plans quickly in order to coordinate corrective actions needed 
  • Meticulous attention to detail
  • Ability to lift and carry up to 50 lbs
  • Ability to stand and walk for extended periods (8–12 hours)
  • Must be able to bend, lift, reach consistently throughout your shiftid
  • A valid and clear driver’s license is required
