Job Summary

Trilogy is seeking an organized individual to coordinate and oversee our office’s operations. The Office Administrator is responsible for keeping the office running smoothly. The Office Administrator will be organized, friendly, and proactive thinker that serves as a main point of contact for visitors, answers and directs incoming phone calls, and oversees multiple aspects of office operations. The Office Administrator is the heart of the office ensuring that it runs efficiently and seamlessly on multiple fronts.

Key Responsibilities

  • Manage office snack program and kitchen supplies through various vendor management tools
  • Maintain office equipment (copy machines, coffee/water machines, postage machine) and manage service relationships with vendors
  • Arrange catering for staff/client meetings and set up meeting rooms
  • Welcome and schedule visitors courteously
  • Sort and distribute mail
  • Assist with new employee orientation (setting up new employees with our phone company)
  • Shredding documents left in copy room
  • Restocking office supplies
  • General office organization
  • Sweeping front lobby (seasonal)
  • Other duties as assigned
  • Manage all deliveries and assist in sending mail via USPS, UPS, FedEx, and Courier
  • Assist with scheduling meetings
  • Set and clean up conference rooms prior to meetings
  • Cleaning up conference rooms after meetings
  • Daily emptying of dishwashers as well as clearing out refrigerators
  • Feeding the fish

Qualifications

  • Bachelor’s degree or equivalent work experience
  • Entry-level Position; No direct experience necessary
  • Must be able to pay attention to details, stay organized, and communicate well with others
  • Very strong computer skills on all suites
  • Strong communication skills, both written and verbal
  • Ability to prioritize and take initiative
  • Organized, methodical and flexible
  • Ability to work individually or in a team
  • High level of attention to detail
  • Maintain confidentiality and discretion at all times
  • Ability to deal with people at all levels
  • Ability to multi-task and shift priorities as needed
  • Professional demeanor
  • Previous office experience in an office environment desirable
  • Must be willing to come to the office five days a week
