What you will do
The Specialist, Legal Operations is accountable for running the operational backbone of the Legal function—ensuring that legal work moves through the organization with speed, clarity, consistency, and discipline. You own the end-to-end mechanics of legal intake, contract administration, matter tracking, and document management, creating the systems, standards, and workflows that enable Legal to support the business efficiently while remaining audit-ready and risk-aware.
You are the primary steward of contract workflow hygiene and legal process integrity. This includes ownership of the contract lifecycle management system (CLM), template discipline, version control, and repository standards that ensure agreements are reviewed, approved, executed, stored, and retrievable with clear ownership and minimal friction. Through rigorous process management, careful recordkeeping, and proactive escalation, you protect confidentiality, reduce operational risk, and enable cross-functional teams to engage Legal in a structured, predictable, and aligned manner with company standards.
Which means that on a day-to-day basis, you will:
- Maintain a clean, reliable, and auditable contract management system by ensuring contracts move through review, approval, and signature with clear ownership as set forth in the contract lifecycle management system (CLM System)
- Improve the efficiency and consistency of Legal workflows through disciplined intake, documentation, and SOPs
- Protect confidentiality and ensure accurate recordkeeping across sensitive legal and business materials
- Enable cross-functional teams to follow Legal standards with minimal friction
- Own the legal intake process: receive, validate, triage, and route requests; enforce intake completeness and required fields
- Manage the Legal queue and trackers: prioritize work, monitor deadlines, and provide clear status updates to stakeholders
- Administer contract workflows in Ironclad (preferred) or similar CLM:
- Create and manage contract records
- Route agreements for review and approval
- Track status, cycle times, and bottlenecks
- Ensure contract metadata is complete and accurate
- Prepare, format, and proof contracts and related documents using approved templates (NDAs, MSAs, SOWs, amendments, addenda)
- Coordinate signature and execution: manage redline versions, route for signature, confirm completion, and store final documents correctly
- Maintain strict version control and organized filing standards across all contract drafts and executed agreements
- Maintain contract repository hygiene: ensure executed contracts, amendments, exhibits, and key terms are properly stored and searchable
- Support renewals and obligation tracking: maintain renewal calendars, notice deadlines, and key commercial and legal flags
- Assist with privacy and data protection workflows (nice to have):
- Track DPAs, SCCs, privacy addenda, and vendor documentation
- Support vendor risk intake and documentation for security and privacy questionnaires
- Maintain internal records of data-related contract terms and addenda status
- Maintain and improve Legal SOPs, templates, clause libraries, and playbooks; document recurring issues and propose fixes
- Produce basic reporting on Legal throughput and cycle time (for example, weekly queue reporting and contract turn-time trends)
- Support corporate governance and administrative tasks as needed (entity records, signature authority lists, basic board and admin support)
- Escalate promptly when there are material deviations from approved templates, missing approvals, or high-risk terms

What you’ll bring – knowledge

- Commercial contracting fundamentals (scope, term, termination, confidentiality, payment, basic risk spotting)
- Contract lifecycle concepts: intake to review to approval to signature to storage to renewal
- Basic privacy and data protection concepts (nice to have): DPAs, SCCs, vendor data risk, confidentiality handling
- Familiarity with a services environment and common contracting artifacts (MSAs, SOWs, NDAs, Service Provider Agreements, Tech Agreements, order forms)
What you’ll bring - experience
(i.e., the critical prior experience you must have in order to perform the role to expectations).
- 2+ years in a paralegal, legal assistant, legal operations, or contracts administration role
- 1+ years supporting contract workflows end-to-end (intake, drafting support, routing, execution, storage)
- Experience working cross-functionally with Sales, Finance, HR, Operations, and Procurement
- Experience supporting privacy operations (DPAs, SCCs, vendor assessments)
- Some prior CLM platform experience (workflow, metadata, repository management)
