Job Description

We are seeking a Production Project Coordinator to support the planning and execution of
marketing media production across our portfolio of brands. Reporting to the Senior
Marketing Project Manager, this role will focus on coordinating photo and video production
workflows, ensuring seamless execution from pre-production through post-production
and final asset delivery.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, multi-
brand environment. You will work closely with project managers, creative teams,
production partners, and brand stakeholders to ensure high-quality content is delivered on
time and aligned with brand standards.

Every role at Trove Brands is critical to our success. Your specific responsibilities will
include:

Production Coordination & Workflow Management

• Coordinate timelines and task execution for photo and video shoots, including pre-
production planning, shoot logistics, and post-production workflows.
• Manage day-to-day project updates, assignments, and dependencies within
ClickUp.
• Track key production milestones such as concept approval, shot lists, casting,
location scouting, shoot dates, editing, and final delivery.
• Ensure all production assets (raw and final) are properly uploaded, organized, and
maintained within Air (digital asset management system).
• In collaboration with production, maintain production calendars and resource
schedules, including studio time, talent, vendors, and internal creative teams.

Cross-Functional Production Support

• Partner with Brand, Creative, and Marketing teams to align on production needs for
campaigns, product launches, and evergreen content.
• Coordinate with internal teams and external vendors (photographers,
videographers, editors, agencies) to ensure timelines and deliverables are met.
• Track deliverables across multiple brands and campaigns to ensure consistency,
quality, and timely delivery.
• Support post-production workflows, including feedback routing, revision tracking,
and final approvals.

Operational Excellence & Process Improvement

• Maintain and improve production tracking tools, templates, and documentation to
enhance efficiency and visibility.
• Help build and standardize workflows for media production across brands.
• Provide regular status updates and reporting on production progress, risks, and
blockers.
• Support budgeting and cost tracking for production projects where applicable.

Qualifications

• Bachelor’s degree in Marketing, Communications, Film/Media Production, Project
Management, or related field (or equivalent experience).
• 2–5 years of experience in project coordination, preferably in marketing, creative
production, media production, or CPG environments.
• Familiarity with production workflows, including pre-production, on-set
coordination, and post-production processes.
• Experience with project management tools (ClickUp preferred; Asana,
Monday.com, or Jira acceptable).
• Experience with digital asset management systems (Air or similar).
• Strong organizational and time management skills with the ability to manage
multiple concurrent productions.
• Excellent communication and interpersonal skills, with experience working cross-
functionally and with external vendors.
• Detail-oriented with strong problem-solving skills in fast-paced production
environments.
• Familiarity with creative tools and workflows (Adobe Creative Suite, Frame.io, or
similar) is a plus.
• Growth mindset with eagerness to learn and develop within project management
and production disciplines.
