Position Description
Every role at Trove Brands is critical to our successful functioning as a whole. Your specific responsibilities as a part of our team will include:
- Investigating and Resolving Deductions: Analyzing and resolving deductions taken by customers on payments, such as chargebacks, returns, promotional allowances, and other discrepancies. Identifying root causes of deductions and partnering cross-functionally to prevent recurrence.
- Documentation and Record-Keeping: Maintaining detailed records of deductions, including reasons for the deductions and actions taken to resolve them. Ensuring all documentation is accurate, audit-ready, and aligned with customer compliance requirements and internal policies.
- Communication and Coordination: Working closely with internal teams (sales, customer service, logistics, compliance) and external customers to address and resolve deduction issues. Proactively communicating compliance requirements and ensuring alignment to prevent chargebacks and disputes.
- Reporting and Analysis: Generating reports on deduction activities, compliance metrics, and trends. Analyzing data to identify patterns, root causes, and risk areas, and providing insights to drive process improvements and reduce future deductions and chargebacks.
- Process Improvement: Identifying areas for improvement in deduction management and compliance processes. Supporting the development and implementation of standardized procedures, controls, and best practices to minimize non-compliance and reduce financial risk.
- Compliance Monitoring and Enforcement: Monitoring adherence to customer-specific routing guides, vendor compliance requirements, and shipping standards. Partnering with internal teams to ensure shipments meet all retailer requirements (e.g., labeling, routing, EDI, packaging) to prevent chargebacks and penalties.
- Proactive Chargeback Prevention: Collaborating with logistics, EDI, and fulfillment teams to identify gaps in processes that may lead to non-compliance. Supporting the rollout of new compliance metrics, scorecards, and KPIs to track performance and drive accountability across teams.
Qualifications
- Bachelor’s Degree – Preferred
- Strong Communicator – Enjoys bringing clarity and efficiency to projects through organization and clear communication.
- Detail-Oriented – Has a sharp eye for accuracy and consistency. Takes pride in catching the small things that make a big difference.
- High Emotional Intelligence (EQ) – Brings a helpful, can-do attitude; approaches work with humility, positivity, and teamwork
