The Office Manager supports MTP (US) agencies by performing a variety of administrative tasks, supporting key projects, and assisting with daily office and executive needs, always with an eye toward fiscal responsibility and budget management.

Essential Duties and Responsibilities (Other duties may be assigned)

  • Coordinate and oversee office presentation and all building maintenance, including working with contractors (HVAC, plumbing, etc).
  • Manage office related functions, including greeting people, maintaining kitchen and office supply needs, signing for shipments, etc.
  • Responsible for agency new hire and anniversary announcements via the HR Information System.
  • Coordinate on-site and off-site meetings, including reserving meeting space, arranging catering, and sending calendar invites.
  • Book travel including flight and accommodations.
  • Provide administrative support to Human Resources, IT, Finance/Auditing and agency leadership teams.

  • Minimum two years professional work experience as an administrative assistant or office manager with access to confidential information.
  • Demonstrate a high level of proficiency with Google Products (Gmail, Google Drive, Docs, Sheets, Slides)
  • Ability to maintain confidentiality; attention to detail; ability to manage multiple projects concurrently; flexibility in handling changing priorities and tasks in a dynamic environment; attention to efficiency and cost-effectiveness; well-organized; excellent time management skills

Education

  • High School Diploma required; Associate Degree or higher level of education preferred.
