Job Summary
This position will directly contribute to Trust Automation’s success by creating a great experience for visitors and employees and assisting in the planning and executing of all company events. This will be accomplished through creating a warm, welcoming, friendly, and positive environment for all who enter and exit Trust Automation’s doors. When not creating a great experience for visitors this role will act as an assistant to Trust Automation’s leadership and Human Resources team in creating all employee culture events. The position will report to the VP of Human Resources while working directly with the Events and Culture Coordinator on company events.
Duties and Responsibilities

- Welcoming guests with a smile and assisting them with any questions or inquiries they may have.
- Works closely with all staff of the HR Department to determine what types of services are needed for guests, visitors, or groups visiting the Trust facility.
- Issuing and preparing visitor badges to guests or visitors who are not Trust Automation employees.
- Ensuring that employees have a company issued badge on their person.
- Assistant in all aspects of event planning for monthly and annual events – ordering supplies, contacting vendors and venues, saving contracts and photos.
- Assist in scheduling vendors for WTB meetings
- Capture photos of company events and functions to create engagement posts and slideshows
- Sets up and takes down WTB meetings.
- Answer and route phone calls to the appropriate person/department.
- Ensuring that the front desk checklist is completed daily with all of the tasks listed.
- Stock and replenish café items at the designated times – this could be 3-4 times a day.
- Order Café supplies and submit expense reports for purchases
- Receive and organize Café supplies as deliveries arrive.
- Ensure the café and stockroom is clean and organized.
- Develop printed material for the Human Resource department and events
- Order catering requests submitted by managers for meetings and events and log in culture folder.
- Ensure that catering is set up and cleaned up at the designated times requested.
- Work closely with day porters to ensure that high traffic areas are cleaned and maintained to Trust standards.
- Establish relationships with all vendors, day porters, customers, and the public by promptly answering questions and addressing inquiries.
- Ensures kitchen is fully stocked with catering supplies
- Maintain a log of Shopkeep items purchases and update costs as needed.
- Clean out fridges of old food on a regular basis
- Manage Shopkeep users, purchases, and food items
- Manage sensitive and confidential situations with tact and diplomacy
- Ensure smooth communication with employees and timely resolution to their queries.
- Create a positive and inclusive work environment where employees feel motivated, satisfied, and emotionally invested in the company's success.
- Participate in projects that support Trust Automation’s values and mission.
- Track and take inventory of Trust Swag given to new hires and employees.
- Create swag bags for new employees.
- Assists with decorating and taking down holiday and event décor
- Be a resource to answers questions about a variety of Event and HR related matters
- Additional duties as assigned.
Position Requirements
- 1-3 years relevant experience in office support, hospitality industry, or customer service role.
- Excellent customer service and written and oral communication skills.
- Previous experience working with high status clientele.
- Adaptable to several different personal types
- Being able to multitask and be given several different projects at a moment’s notice.
- Ability to maintain a high degree of discretion, diplomacy and confidentiality.
- Ability to think quickly and efficiently when confronted with a request and anticipate the needs of others.
- Motivated to encourage a welcoming and healthy environment for employees and guests.
- Software Skills: Working proficiency of Microsoft Excel, Microsoft Outlook, Microsoft Word. Experience preferred in - Microsoft PowerPoint and desktop publishing: Canva, Adobe Illustrator, Affinity Design.
- This position may be asked to drive for company purposes during the course of employment. If asked and agreed upon, employee must possess a valid California Driver’s License and clean driving record.
- May participate in the identity verification process to access secure client or government portals by authorizing certified supplier or customer management platforms to obtain information from your personal credit profile or other information, solely to verify your identity.
Physical Requirements
- Hearing and speaking to exchange information in person, on the telephone or virtually.
- Dexterity of hands, fingers, and wrist to operate a computer keyboard, calculator or assemble/manufacture intricate items.
- Seeing to read a variety of materials.
- Physical ability to stand and walk for long periods of time.
- Physical ability to frequently lift, push, pull, and carry objects weighing 50lbs
Pay/Salary Information
Pay scale for this position - $21.24 - $27.00 Hourly
