About the Role

The Process Optimization Partner plays a key role in transforming the People Team’s operations through technology, automation, and intelligent systems. You’ll analyze workflows, identify inefficiencies, and design scalable solutions that enhance the employee and stakeholder experience. This role blends strategic problem-solving with hands-on implementation, leveraging AI tools, process automation, chatbot systems, and dynamic knowledge bases to optimize how the People Team operates.

Key Responsibilities

  • Evaluate, document, and improve People Team workflows across the employee lifecycle (recruiting, onboarding, development, engagement, and offboarding).
  • Identify automation opportunities using tools like Zapier, Workato, Power Automate, or internal HRIS systems.
  • Partner with HR stakeholders to reduce manual work, streamline approvals, and improve process accuracy.
  • Implement and monitor AI-driven workflows that enhance response times and reduce operational bottlenecks.
  • Design and maintain AI-powered chatbots to handle routine HR and general support inquiries, FAQs, and employee self-service needs.
  • Continuously analyze chatbot performance to improve accuracy, tone, and efficiency using feedback loops and analytics.
  • Collaborate with IT and data teams to ensure proper integration between HR systems and conversational AI platforms.
  • Build and manage a centralized HR knowledge base that supports employees, managers, and the People Team.
  • Develop structured documentation practices to ensure consistency and ease of information retrieval.
  • Implement taxonomy and tagging systems that enable quick search and smart recommendations.
  • Define and track key metrics related to process efficiency, automation adoption, and employee experience.
  • Use data and feedback to prioritize initiatives and communicate impact to leadership.
  • Stay current on emerging HR technologies, AI trends, and automation best practices.

Qualifications

  • 3–5+ years of experience in HR operations, process improvement, or business automation.
  • Strong understanding of HR workflows, systems, and employee experience design.
  • Hands-on experience with automation platforms (Zapier, Boomi, etc.) and/or AI assistants or chatbot builders (e.g. ChatGPT Enterprise, etc.)
  • Familiarity with HRIS platforms (HiBob, Workday, or similar).
  • Strong project management skills and the ability to translate strategy into execution.
  • Excellent written and verbal communication, with a collaborative and analytical mindset.

Preferred Qualifications

  • Experience with Hubspot CRM.
  • Exposure to AI prompt engineering, knowledge management, or digital transformation initiatives.
  • Passion for creating intuitive, efficient, and employee-friendly systems.
