Role Summary

The Operations Executive – Diagnostics & Care Coordination is responsible for managing end-to-end blood test operations for members, including scheduling, appointment creation, vendor coordination, escalation handling, report management, billing reconciliation, and operational reporting. The role ensures seamless diagnostic delivery while maintaining high service quality and member satisfaction.

Key Responsibilities

Blood Test Coordination

  • Arrange blood tests for members under both cash and credit payment models.
  • Coordinate with internal teams and external lab vendors to ensure timely scheduling and sample collection.
  • Track daily collections and proactively follow up on pending or missed appointments.

Appointment Management

  • Create and manage appointments in internal platforms and external vendor systems.
  • Update appointment statuses accurately (Completed, Cancelled, Rescheduled).
  • Ensure data consistency across systems.

Vendor & Stakeholder Coordination

  • Act as the primary point of contact for diagnostic lab vendors.
  • Coordinate with internal teams for smooth execution.
  • Ensure vendors adhere to defined SLAs and turnaround times.

Escalation & Grievance Handling

  • Handle escalations related to blood test scheduling, sample collection, report delays, and quality issues.
  • Address member grievances related to diagnostics and coordinate resolution with vendors and internal teams.
  • Ensure timely closure and documentation of all escalations.

Report Management

  • Follow up with lab vendors to collect blood test reports within defined timelines.
  • Upload reports accurately into the platform and validate completeness.
  • Ensure confidentiality and data accuracy.

Record Maintenance & Reporting

  • Maintain tracking sheets and operational records for leads, collections, and reports.
  • Generate daily and monthly reports, including:
    • Number of leads received
    • Blood tests completed
    • Pending and cancelled cases

Vendor Billing & Reconciliation

  • Review and reconcile monthly vendor invoices against internal records.
  • Highlight discrepancies and coordinate corrections.
  • Support approval and processing of vendor payments.

Operational & Adhoc Support

  • Support internal teams with adhoc operational requirements.
  • Assist during high-volume periods, audits, or process improvements.

Qualifications

  • Bachelor’s degree in Any discipline (Healthcare, Operations, or Management preferred).
  • Additional certification in healthcare operations or administration is a plus.
  • DMLT or BMLT preferred.
  • Language Any 3 Languages (English Mandatory)

Experience

  • 1–3 years of experience in operations, healthcare coordination, diagnostics, or vendor management.
  • Experience working with labs, hospitals, or healthcare platforms is preferred.
  • Familiarity with appointment scheduling systems and operational dashboards is an advantage.

  • Excellent follow-up and escalation handling ability
  • High attention to detail and data accuracy
  • Proficiency in Google Sheets, Google Forms, and reporting tools
  • Ability to multitask and work in a fast-paced environment
  • Clear verbal and written communication skills
