Marketing and Executive Support Coordinator

UASI is looking for a highly organized, proactive and tech-savvy Marketing and Executive Support Coordinator who enjoys variety, takes ownership and is willing to jump in wherever needed.

This role sits at the intersection of marketing, office management and leadership support. Some days may include developing social media content, coordinating an employee spotlight or preparing materials for an executive meeting. Others may involve setting up the office for a Board meeting, creating a presentation, helping organize a company event or packing materials for an upcoming trade show.

We are looking for someone who likes being the person who helps make things happen. This is a hands-on, high-trust role for someone who can manage multiple priorities, work comfortably with senior leaders and take responsibility for important details without needing constant direction. As they learn the business, there will be opportunities to take on additional marketing and project responsibilities.

 

Marketing Support

  • Manage the day-to-day execution of UASI’s social media presence, including planning, scheduling and publishing content across company channels.
  • Develop social media content for new hire announcements, employee spotlights, recognition weeks, company news, events and other timely topics.
  • Use broader themes, source material and input from internal leaders to draft engaging, on-brand copy.
  • Maintain the social media calendar and ensure content is developed, approved and published on schedule.
  • Monitor company social channels and identify comments or messages requiring follow-up.
  • Support updates to marketing materials and digital content; assist with email marketing, HubSpot and website updates as capabilities grow.
  • Proofread and quality-check marketing materials, presentations and other content.
  • Provide backup support for trade show logistics, including assembling, packing and shipping event materials.

 

Leadership and Administrative Support

  • Provide administrative and project support to the leadership team, including the CEO.
  • Assist with special projects, follow-ups and coordination across multiple stakeholders.
  • Organize materials and logistics for annual planning, Board meetings, client meetings and other leadership events.
  • Assist with presentation development, formatting, proofreading and quality assurance.
  • Coordinate occasional complex or large-group meetings and track requested action items.
  • Handle confidential business, personnel and strategic information with discretion and sound judgment.
  • Pitch in on priorities that do not fit neatly into a traditional job description.

 

Office Management

  • Coordinate day-to-day needs of UASI’s corporate office, including office and meeting supplies.
  • Arrange meeting rooms, meals and other logistics for leadership and Board meetings, planning sessions and visitors.
  • Help keep the office prepared and professional for employees, guests and company events.
  • Coordinate occasional office lunches and employee activities; work with vendors and internal resources on routine office needs.
  • Anticipate upcoming needs and address them before they become urgent.

 

What We Are Looking For

  • Approximately 3–5 years of experience in marketing coordination, executive or administrative support, office management, project coordination, events or a related role.
  • Excellent organization, attention to detail, follow-through, writing, editing and proofreading skills.
  • Ability to develop polished social media content from basic direction, source information or company updates.
  • Comfort with technology and the ability to learn new systems quickly; proficiency with Microsoft Office, especially PowerPoint, Word, Excel and Outlook.
  • Experience with social media platforms and scheduling tools; HubSpot, Canva and website content management experience is a plus.
  • Ability to juggle marketing, administrative and hands-on work, exercise sound judgment and interact confidently with executives, employees, clients and partners.
  • A proactive, resourceful approach and discretion with confidential information.
