
Manager of Clinic Scheduling
The Manager of Clinic Scheduling is responsible for all patient appointments in clinics across the United Vein & Vascular Centers footprint. Primary areas of focus include schedule optimization, process and policy development, and change management. This position will be the UVVC master scheduler and will lead a team for all scheduling related initiatives.
This position is onsite at our corporate office in Tampa, FL.
- Own all aspects of the UVVC schedule for clinic and patient flow to be world class in both productivity and experience
- Lead a team of scheduling coordinators to ensure compliance with UVVC scheduling guidelines
- Ensure eCW system is maintained with up-to-date scheduling changes, including last-minute resource changes, future clinic growth, and resource shuffling
- Track and measure all scheduling-related KPI’s including Speed-to-Treatment, Next Available, Utilization, Error & Exception Rates
- Act as subject matter expert for all scheduling protocols and communicate with relevant staff, physicians, market leaders, and/or executives on the strategy and results of scheduling team initiatives
- Develop and maintain training content for all scheduling employees
- Manage appointment Visit Type/Reasons & their applications
- Partner closely with clinical & health informatics to optimize and automate eCW scheduling processes

Qualifications
- High school diploma required; college degree preferred
- 2-3 years managing large scale health care schedules
- 2-3 years EMR experience; eClinicalWorks experience preferred
- Highly organized and efficient
- Ability to juggle multiple tasks
- Proactive problem solving
- Strong communication skills, both written and verbal
- Strong analytical skills and attention to detail
- Experienced coaching and development of employees
- Cross functional skills to partner with other teams and other businesses
- Strong technical skills and ability to leverage technology to solve problems
- Able to embrace and adapt to new system technologies to support the business
- Dependable; able to meet reliable attendance and punctuality standard
- Maintain the confidentiality and security of Protected Health Information (PHI) in accordance with UVVC policies, the Health Insurance Portability and Accountability Act (HIPAA), and other applicable laws and regulations. PHI is a top priority of our organization
- Other related duties as assigned
