Accounting Specialist – Clinical Research (Contract)

Role Overview
UniTriTeam is seeking an experienced Accounting Specialist to support clinical research organizations with day-to-day accounting operations, with a strong focus on Accounts Payable (AP), Accounts Receivable (AR), and sponsor invoicing. This role requires hands-on experience with QuickBooks (required), ideally NetSuite, and familiarity with clinical trial financial workflows supported by CTMS platforms such as CRIO and other CTMS systems.
This contractor will be embedded with a UniTriTeam client and will work closely with finance, clinical operations, and leadership teams to ensure accurate financial tracking across active studies and timely sponsor billing.
Key Responsibilities
Accounts Payable (AP)
- Process vendor invoices related to clinical trials, including CROs, laboratories, investigator payments, and study-related vendors
- Code expenses accurately by study, sponsor, and cost category
- Match invoices to contracts, budgets, and approvals
- Support payment scheduling and resolve vendor discrepancies
Accounts Receivable (AR) & Sponsor Invoicing
- Prepare andsubmitsponsor invoices based on study milestones, subject visits, pass-through costs, and contractual terms
- Track receivables by sponsor and study
- Follow up on outstanding invoices and support collections efforts
- Apply sponsor payments and reconcile AR balances
Clinical Systems & Financial Integration
- Work within CRIO and/or other CTMS platforms to track billable events and study activity
- Reconcile CTMS data with accounting systems (QuickBooks and/or NetSuite)
- Collaborate with clinical operations teams to ensure alignment between study execution and financial reporting
- Support study budget tracking and financial visibility
Accounting & Reporting Support
- Assistwith month-end close activities, including accruals and reconciliations
- Prepare study-level financial summaries and support ad hoc finance requests
- Maintainorganized documentation to support audits and sponsor inquiries
Process & Documentation
- Follow established client and UniTriTeam accounting processes and SOPs
- Identifygaps or inefficiencies in billing or tracking and escalate as appropriate
Required Qualifications
- 3+ years of accounting experience, preferably in clinical research, healthcare, or life sciences
- Hands-on experience with QuickBooks
- Experience supporting AP, AR, and invoicing functions
- Familiarity with sponsor billing models, including milestone-based and per-visit invoicing
- Experience working with CRIO or other CTMS platforms
- Strong attention to detail and ability to manage multiple studies simultaneously
Preferred Qualifications
- Experience with NetSuite
- Prior experience supporting clinical research sites, site networks, or CROs
- Understanding of clinical trial budgets, contracts, and sponsor agreements
- Experience working in a remote, global team environment
