Who You Are

The Workfront Platform Administrator is responsible for managing, optimizing, and scaling the Workfront platform to support the complex, fast-paced project environment of the agency. This individual ensures that the platform enables compliant, efficient, and collaborative workflows across creative, media, strategy, and client services teams. The administrator plays a central role in aligning system configuration with agency processes, client deliverable timelines, and healthcare compliance standards.

What You'll Do

Key Responsibilities

1. Platform Administration & Optimization

  • Serve as the primary administrator for Adobe Workfront, overseeing user setup, permissions, and configurations.
  • Design and maintain project templates, workflows, custom forms, and request queues tailored for healthcare marketing operations (including MLR/Regulatory review processes).
  • Integrate Workfront with related platforms — such as Adobe Experience Manager, Workfront Proof, DAM systems, Slack, Power BI, or Veeva PromoMats — to streamline creative and compliance workflows.
  • Conduct regular audits, testing, and maintenance to ensure optimal performance and data accuracy.

2. Process Design & Workflow Governance

  • Partner with operations, creative, and account leadership to design standardized workflows that support omnichannel marketing deliverables (digital, print, paid media, etc.).
  • Build and maintain workflows that align with client-specific compliance requirements, including HIPAA guidelines.
  • Define and enforce governance standards for project setup, naming conventions, and reporting consistency across accounts.
  • Ensure Workfront configurations and data structures are optimized to enable accurate resource management insights that support workforce planning and capacity forecasting.
  • Support change management processes as the platform evolves.

3. User Enablement & Support

  • Act as the internal subject matter expert for Workfront — providing day-to-day support and troubleshooting for all users.
  • Develop and deliver training sessions for project managers, creatives, strategists, and account teams.
  • Maintain updated documentation, SOPs, and onboarding materials to ensure consistent adoption and proper system usage.
  • Partner with Workfront customer support and Adobe representatives for escalations and platform updates.

4. Reporting & Insights

  • Create and maintain reports and dashboards to track key metrics such as project velocity, resource utilization, and delivery timelines.
  • Support leadership with performance analytics that inform capacity planning and operational improvement.
  • Ensure visibility into compliance checkpoints, review cycles, and creative approval turnaround times.

5. Compliance & Data Security

  • Ensure all platform configurations and data handling practices comply with HIPAA and client confidentiality standards.
  • Support and review workflows to ensure content accuracy and documentation integrity.
  • Collaborate with IT and compliance teams to monitor user access and maintain data security protocols.

Qualifications

Education & Experience

  • Bachelor’s degree in Marketing, Business, Information Systems, or a related field.
  • 3–5 years of experience in Adobe Workfront administration, preferably within an agency or healthcare marketing environment.
  • Experience supporting regulated industry and/or healthcare client work (pharma, medtech, hospital systems) highly preferred.

Technical Skills

  • Advanced understanding of Workfront modules: Projects, Requests, Tasks, Resource Management, and Reporting.
  • Experience with Workfront Fusion and/or integrations with Adobe Experience Cloud or Veeva systems.
  • Strong proficiency in workflow automation, form design, and custom report creation.
  • Familiarity with data visualization tools (e.g., Power BI, Tableau) and enterprise collaboration tools (e.g., Slack, SharePoint).
  • Soft Skills
  • Exceptional problem-solving and analytical thinking abilities.
  • Strong communication and stakeholder engagement skills across technical and creative teams.
  • Detail-oriented, organized, and able to manage competing priorities in a deadline-driven environment.
  • Passionate about optimizing tools and processes to improve team productivity and client delivery outcomes.
