Position Overview

UVIMCO is seeking a highly skilled, proactive, and organized Executive Assistant to support the CEO/CIO. This individual will play a critical role in ensuring the efficiency and effectiveness of the CEO/CIO by providing high-level, confidential administrative support and serving as a trusted partner in managing priorities. The Executive Assistant will act as the primary liaison between the CEO/CIO and a wide range of stakeholders, including UVIMCO senior staff, the Board of Directors, and senior University administrators. The ideal candidate will demonstrate sound corporate judgement, exceptional organizational skills, and the ability to anticipate needs in a dynamic, fast-paced environment.

Primary Responsibilities:

  • Oversee calendar, contacts, calls, and email with minimal supervision; coordinate meetings with internal and external stakeholders; draft and distribute correspondence, reports, and related materials.
  • Serve as primary point of contact for UVIMCO Board members, University leadership, and affiliated organizations; prepare and distribute agendas, notices, and meeting materials.
  • Ensure CEO/CIO is fully prepared by assembling briefing documents, research summaries, and supporting materials; manage logistics for on-site and off-site Board meetings, including venues, catering, and technology needs.
  • Enhance the CEO/CIO’s ability to cultivate, document, and sustain meaningful relationships with Board members, key stakeholders, and emerging contacts.
  • Provide support on personal tasks to help the CEO/CIO remain focused, effective, and efficient during work hours
  • Arrange complex travel and itineraries for the CEO/CIO (including non-UVIMCO commitments) and occasional guests; handle related expense reports and reconciliations.
  • Plan and execute corporate events, such as quarterly webcasts; assist with planning for investor events, holiday parties and community fundraisers.
  • Support the CEO/CIO in professional roles outside UVIMCO including service on boards, committees, and industry organizations. Ensure CEO/CIO is fully prepared to engage effectively with external commitments.
  • Maintain files, update presentations and reports, manage data and worksheets, and perform general office tasks (photocopying, mailing, troubleshooting minor IT issues).

Skills and Qualifications 

  • At least 5 years of experience supporting C-suite executives;
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines;
  • High level of discretion and judgement in handling sensitive information;
  • An undergraduate degree is strongly preferred;
  • Must possess proficiency in Microsoft Office and Adobe Acrobat Pro; experience with document and board management software preferred;
  • Must have a 24/7 mentality and be extremely flexible.
