Workplace Experience Manager

New York, New York, United States

About the Company

Valon’s mission is to empower every homeowner. We believe the journey of home ownership starts when you get your keys, but lasts far beyond. We’re creating a world where home ownership comes with ease, security, and financial know-how. Our growing team of engineers, operators, product enthusiasts, and experienced servicing professionals are leveraging technology to fundamentally improve the homeownership experience. Through mortgage servicing—the process of paying off one’s mortgage—Valon is taking the first step in transforming the industry one homeowner, and lender, at a time.

The Role

We’re hiring a highly organized, resourceful, and emotionally intelligent Executive Assistant & Workplace Experience Manager to support both our executive team (CEO and COO) and our NYC office operations. This is a dual-role for someone who thrives in high-impact environments, can handle confidential matters with discretion, and brings warmth, precision, and efficiency to every aspect of their work.

You’ll be a trusted right hand to our CEO and COO—managing fast-moving schedules, booking complex travel, and staying ahead of day-to-day needs. You’ll also own the experience of our NYC office: creating a space that’s thoughtful, functional, and energizing for our growing team.

This role requires someone who is comfortable with after-hours requests and excels in dynamic, fast-paced environments where no two days look the same.

What You’ll Do

Executive Support

  • Manage complex, ever-changing calendars for the CEO and COO—including scheduling across time zones, investor meetings, internal planning, and offsites
  • Coordinate logistics for travel, board meetings, and client visits
  • Anticipate needs before they arise, with responsiveness to time-sensitive or off-hours requests
  • Prepare agendas, notes, and follow-ups for executive priorities
  • Track cross-functional initiatives to help keep leadership focused and efficient

Office & Culture Management

  • Run day-to-day operations of the NYC HQ: keep supplies stocked, manage the kitchen and conference rooms, welcome guests, and liaise with vendors and building management
  • Design and execute weekly and monthly team rituals—meals, happy hours, appreciation events, and cultural moments that strengthen team connection
  • Deliver exceptional first-day onboarding experiences for new hires in NYC
  • Partner with our Arizona-based workplace team to support remote employees and company-wide moments (gifting, recognition, etc.)
  • Help plan and coordinate events in our San Francisco office as we expand our West Coast presence

What We’re Looking For

  • 3–5 years of combined experience as an Executive Assistant and/or Office Manager (or similar hybrid roles)
  • Proven ability to manage high-level executives and juggle competing priorities with speed and professionalism
  • Strong sense of discretion and good judgment—especially with confidential or time-sensitive matters
  • A natural host: thoughtful, attentive, and proactive about creating a great in-office experience
  • Tasteful and budget-conscious when planning events and ordering for the office
  • Self-starter who thrives in fast-paced, high-ownership environments
  • Excellent communicator, both written and verbal
  • A warm presence and great judgement – you know how to read a room, resolve an issue, or spot a broken printer before anyone else notices
  • Tasteful, thoughtful and budget savvy

Bonus Points For

  • Experience supporting C-level executives
  • Prior startup experience
  • Prior event planning experience
  • Strong knowledge of NYC vendor landscape

Minimum Qualifications

  • Strong communication skills, both verbal and written
  • Knowledge of Google Suite (Docs, Sheet, Slides, etc) and Gmail
  • Self-motivated while having a positive attitude

Why You’ll Love It Here

You’ll sit at the heart of Valon—shaping the daily rhythm of the company, supporting our most senior leaders, and crafting an environment people genuinely enjoy coming to. You’ll join a high-trust, low-ego team that values clarity, ownership, and thoughtful execution. And you’ll have the runway to make this role your own.

Expires 04/30/2026

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
