We’re looking for a dynamic Practice Manager who thrives in a high-performing, high-touch environment and is energized by the opportunity to lead at one of the most distinctive specialty practices in the city. As Practice Manager at Veterinary Eye Center, you’ll take the helm of daily operations alongside Dr. Alex LoPinto, driving both clinical excellence and business success. What You’ll Do

Operational Leadership
•    Partner with the Medical Director to align clinical goals with hospital operations, ensuring a high standard of patient care and service excellence
•    Oversee the hospital’s day-to-day operations, ensuring a smooth and efficient workflow across all departments
•    Implement policies, procedures, and protocols in partnership with the Medical Director to support patient care, safety, and team performance
•    Ensure compliance with all applicable local, state, and federal regulations

Team Management & Development
•    Collaborate with the Medical Director to lead, mentor, and support a diverse team of technicians, assistants, and administrative staff
•    Foster a positive, collaborative workplace that encourages continuous learning and professional development
•    Oversee recruitment, onboarding, training, performance evaluations, and staff engagement strategies to promote long-term retention

Finance
•    Oversee daily financial close and manage all cash handling, including bank deposits, petty cash, and the hospital change box
•    Reconcile credit card expenses and submit through Concur; manage internal invoices and staff discounts (DVM pets, Vet Fund)
•    Monitor KPIs and financial metrics; review performance regularly with the team and Nightingale leadership
•    Review monthly P&Ls and help track goals and hospital progress
•    Monitor and follow up on accounts receivable to ensure timely resolution

Patient Care & Client Services
•    Support the delivery of high-quality patient care by maintaining operational systems that enhance clinical outcomes and client satisfaction
•    Oversee client service standards, including communication, follow-up, and overall experience
•    Address escalated client concerns with empathy and professionalism
•    Maintain strong referral relationships by ensuring smooth communication and mutual support with partner hospitals and DVMs

Strategic Planning & Growth
•    Support the Medical Director in planning and carrying out goals to help the hospital grow and succeed over time
•    Stay current with trends in veterinary ophthalmology and healthcare operations; integrate best practices into daily workflows
•    Represent the hospital with vendors, referring partners, and the broader veterinary community to support reputation and visibility

Qualifications

  • Minimum 2 years of leadership experience in a veterinary or medical hospital setting
  • Strong understanding of veterinary operations; specialty surgery or ophthalmology experience preferred
  • Bachelor's Degree in hospital administration, business management, or a related field preferred
  • Excellent interpersonal and communication skills with proven ability to lead and inspire a diverse team
  • Demonstrated experience collaborating with clinical leadership to drive hospital-wide goals
  • Passion for animal welfare and a deep commitment to delivering exceptional patient care

What Makes This Role Unique

This is a full-time, in-practice role based at our Hell’s Kitchen location. The schedule is Monday through Friday, typically 9AM-5PM with some flexibility for opening/closing when needed. This position is not remote; onsite presence and engagement are essential to the success of the role. Our practice does not take appointments after 5:30pm, we aren’t open on weekends, and we don’t have in-patient procedures - no late-night and no weekend shifts.

Note, we are targeting a delayed start date for October 2025.

  • The salary range for this role is: $78,000-$85,000. This salary range represents our target hiring range for this role. The proposed salary will be dependent on the candidate's skills, experience, and competencies.
