Job Summary:
As Office/Facilities Support Associate, you will report to the Office Manager and will be responsible for various areas of support for the office and facilities. You will support the Office Manager in managing the general office duties, facilities operations and compliance, shipping and receiving office and video conferencing equipment support, as well as support to Marketing Operations and CMO, as other duties as assigned. Please note that this is a temporary, part-time position with the potential to transition into a full-time opportunity.
Key Responsibilities:
- Support Office Manager in managing general office operations, including supplies, vendor relationships, facility maintenance, Audio Visual Systems, and office.
- Coordinate relationships with certain building management and service providers (cleaning, IT support, security, etc.).
- Help coordinate and execute company events, company-wide communications, and all-hands meetings.
- Track and coordinate shipping and deliveries, especially R&D components, and equipment critical to R&D
- Help ensure the office complies with local health, safety, and business regulations.
- Support oversight of all building systems including HVAC, electrical, plumbing, and security.
- Work as directed on efforts to maintain functionality and cleanliness of office and lab areas.
- Act as an intermediary as necessary with property management and contractors for repairs, inspections, and compliance.
- Support efforts to manage access control systems and physical security measures.
- Track contractors working on proper installation, calibration, and ongoing maintenance of lab and testing equipment. Work as directed to support compliance with local, state, and federal regulations (e.g., OSHA, fire code).
- Collaborate with IT on equipment issues and repair.
- Other ad hoc duties as required.
- As directed by Office Manager:

- Manage appointments, and meeting coordination for the CMO and marketing leadership.
- Manage travel arrangements, conference registrations, and event planning for marketing events.
- Assist with the preparation of presentations, reports, and briefings for internal and external stakeholders.
- Track as directed project timelines, deadlines, and deliverables for marketing campaigns, product launches, and content development.
Qualifications:
- 3-5 years’ experience relevant to the job requirements noted above.
- A proven record of teamwork and an innovative spirit in a startup environment.
Physical Requirements
- The Office/Facilities Support Associate is responsible for receiving, processing and moving boxes as well as other facilities tasks as needed. This role requires the ability to lift/carry/push/pull objects that weigh up to 20 pounds.
- This role requires strict adherence to all company and Occupational Safety and Health Administration (OSHA) safety protocols to ensure a safe and efficient working environment for all employees.
