The Role

The Capacity Planner & Scheduler will play a critical role in optimizing resource allocation, improving operational efficiency, and supporting project delivery across the organization. This role is focused on translating business priorities into actionable project schedules and resource plans, tracking ongoing capacity, and identifying potential gaps or conflicts before they impact delivery.

You will work closely with project managers, team leads, and operational stakeholders to ensure that workloads are balanced, project plans are realistic, and teams are set up for success. This is a high-impact role that blends planning, analytics, and collaboration—and is a key part of enabling smooth execution in a fast-paced, growing organization.

What You’ll Do

Capacity & Resource Planning 

  • Assess current resource capacity across CAD and RMS teams, leveraging historical data and real-time input. 
  • Forecast upcoming demand based on project pipeline, priorities, and estimated workloads. 
  • Collaborate with project managers and team leads to allocate resources effectively and resolve any utilization conflicts. 
  • Identify resource gaps or bottlenecks and escalate risks early with recommendations. 

Project Scheduling 

  • Create initial project schedules including timelines, milestones, and dependencies. 
  • Build and refine project templates to streamline setup and improve consistency. 
  • Monitor schedule progress and flag any deviations from timelines or deliverables. 
  • Support alignment between project goals and resource availability. 

Operational Insights & Reporting 

  • Track and report on key metrics such as resource utilization, team capacity, and project workload distribution. 
  • Apply deep analytical techniques to support capacity planning and project scheduling and build dashboards and visuals that give leadership real-time visibility into planning and performance. 
  • Recommend improvements to scheduling and planning processes for long-term scalability. 
  • Support strategic discussions around optimizing team efficiency and improving delivery velocity. 

What You Bring 

  • 3+ years of experience in project scheduling, capacity planning, or operations coordination—preferably in a software or technology environment. 
  • Proven experience with project management tools such as Kantata (Mavenlink), Microsoft Project, or equivalent enterprise platforms. 
  • Strong analytical skills and a strategic mindset—you can interpret data, spot trends, and propose actionable solutions. 
  • Ability to manage multiple priorities in a cross-functional, fast-moving environment. 
  • Excellent communication and stakeholder engagement skills. 
  • Proficiency with collaboration tools (e.g., Confluence, Jira, Teams). 

You’ll Succeed If You Are 

  • Strategic and operational—comfortable zooming out to assess long-term capacity and zooming in to adjust individual project timelines. 
  • Able to perform deep analytics to forecast resource demand, identify capacity constraints, and recommend data-driven solutions. 
  • Detail-oriented and structured, with a passion for planning and clarity. 
  • A proactive problem-solver who anticipates needs and proposes solutions before issues escalate. 
  • Highly collaborative, with the ability to coordinate across departments and functional areas. 
  • Curious and data-driven—always looking for ways to improve processes through insight and action. 

Nice to Have 

  • Experience in public safety, SaaS, or professional services industries. 
  • Familiarity with CAD or RMS product environments. 
  • Understanding of time tracking, budgeting, or forecasting workflows.
