The Role
We are seeking a detail-oriented and experienced Payroll Specialist to join our dynamic People & Culture team. Reporting to the Manager, Payroll & Benefits, the ideal candidate will manage and process payroll for our growing workforce across multiple business entities in both Canada and the United States. This role requires a strong understanding of payroll legislation, regulations, tax compliance, and multi-entity operations in North America.
What You’ll Do
Payroll Processing:
- Accurately process semi-month or bi-weekly payrolls for employees in both the Canada and the US, ensuring compliance with provincial, federal, state, city and local legislations within ADP.
- Ensure timely delivery of payroll services to over 650 employees
- Administer payroll for multiple entities within the organization, including calculating wages, overtime, bonuses, and deductions.
- Manage payroll integrations with HRIS (BambooHR), time-tracking, and accounting systems.
Compliance and Reporting:
- Ensure compliance with applicable labor laws, tax regulations, and payroll standards in Canada and the US.
- Perform payroll related reconciliations and audits
- Prepare and submit payroll tax filings, including T4s, T4As, RL1, T2200s, W2s, W2-Cs, 1095-C and 5500s.
- Monitor updates to tax laws and labor standards in both countries, making adjustments as necessary.
Employee Support:
- Address and resolve payroll and benefit related inquiries from employees, such as pay discrepancies, tax withholdings, and benefit deductions.
- Educate employees on payroll processes and policies.
Systems Management:
- Maintain payroll systems and databases, ensuring accuracy and security of employee data.
- Collaborate with IT and HR teams to implement system upgrades or integrations as needed.
Cross-Functional Collaboration:
- Work closely with HR, Finance, and Accounting teams to ensure seamless payroll operations and reporting.
- Assist in audits related to payroll and benefits.
Process Improvement:
- Identify inefficiencies in payroll processes and implement improvements to enhance accuracy and efficiency.
- Develop and document payroll procedures and best practices.
What You’ll Bring
- Diploma or degree in Accounting, Finance, Human Resources, or a related field.
- 5+ years of payroll experience, preferably in a multi-entity, cross-border environment.
- Strong knowledge of Canadian and US payroll legislation and regulations.
- Experience working with a payroll service provider (e.g., ADP, Ceridian, or Paylocity).
- High attention to detail and excellent organizational skills.
- Strong problem-solving abilities and confidentiality in handling both personal and time sensitive information pertaining to payroll and benefits.
- Ability to multitask and prioritize diverse workloads
- Proficiency in Microsoft Excel and familiarity with accounting systems
- Canadian or US professional payroll designations are an asset
- Bilingualism is an asset

The starting salary for this position will be dependent upon many factors, such as the successful candidate’s skills, experience, education, training as well as internal equity, market data, and business needs.
