Who Are We Looking For?
The Solution Management team exists to drive tactical efficiency while always keeping the big picture in mind. Members of the Solution Management team are the connective tissue between the client-facing front end and the operational backend. We use data to identify the initiatives that will have the largest impacts, and manage our roadmap accordingly. We strive to ensure that Vestwell’s operational teams have the tools they need to provide an exceptional experience for partners and clients while working within optimized, repeatable processes that create scalable and predictable timelines. When we’re successful, it allows for proper expectation setting for our clients and reliable revenue recognition for the business.
What Will You Be Doing?
- Strategic Partnership & Stakeholder Engagement - Serve as a key liaison across business units (ex: sales, finance, service, compliance) to assess the operational impact of new products and opportunities. Influence cross-functional decision-making by providing data-driven insights and recommendations.
- Operational & Systems Strategy - Lead the development of scalable, efficient processes by analyzing business needs and translating them into actionable system and operational requirements. Drive alignment between business objectives and technology solutions.
- Roadmap Development & Execution - Help drive the managing and updating of a long-term solution roadmap, ensuring initiatives are effectively prioritized based on business impact, operational feasibility, and strategic goals. Continuous Process & System Optimization - Oversee the ongoing evaluation, analysis, and refinement of system requirements and business processes. Ensure seamless implementation of updates while mitigating operational risks.
- Governance & Documentation - Establish and maintain best-in-class documentation standards for internal and external use. Lead the formalization and communication of requirements, ensuring clarity and alignment across teams.
- Data-Drive Decision-Making - Leverage data analytics and reporting to identify inefficiencies, emerging trends, and areas for process optimization. Provide actionable insights to drive efficiency, scalability, and business performance.
Requirements
The Necessities
- Proven experience in business operations, process optimization, or systems strategy, preferably in a leadership capacity.
- Strong ability to translate complex business challenges into actionable operational and system improvements.
- Demonstrated success in managing cross-functional initiatives and influencing senior stakeholders.
- Proficiency in leveraging data to drive decision-making and prioritization.
- Exceptional communication and documentation skills, with a strong attention to detail.
- Drive to lift up team members through collaboration, training, and coordination.
- Love of learning and growth, to continue to level-up technical and softer skills.
- Stakeholder Management: Collaborate with stakeholders to gather project requirements and provide teams with required input for implementation.
- Demonstrated abilities to balance own workload with team needs; as well as to speak up and work with managers to prioritize projects when needed.
- The ability to dig deep into the details of one product or process while keeping the big picture in mind.
- Continued growth in industry and regulatory knowledge, to support prioritization efforts (balancing efficiency with regulatory requirements).
- Experience in the retirement, financial services or employee benefit industries.
The Extras
- Understanding of the retirement and employee benefit industry.
- Extensive knowledge of ERISA rules and requirements.
- Familiarity with contracting, agreements and DocuSign.
- Prior experience working in an agile or scrum framework.
This role will be based in Vestwell's NYC HQ office, and will be part of Vestwell's hybrid in-office operation.
The expected base salary range for this position is $105K - $110K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.

OUR PROCESS
It starts the same for every candidate: getting to know the team members through 1 - 2 conversations about Vestwell, your experience, and your interests. Next steps can vary by role, but the usual next steps are a skill or experience screen (e.g. a coding interview for an Engineer, a portfolio review for a Designer, deeper experience call for other roles) which leads to a virtual or in-person interview panel after that if the screens go well. Before making an offer, our interview process concludes with a references check stage for your recruiter to meet with a current or former supervisor and peer. We prioritize transparency and lack of surprise throughout the process.
