As our SaaS and Vendor Operations Analyst, you'll own how we buy, license, and support all of it. You'll catch the auto-renewal before it triggers, find the 40 unused seats before the true-up, and push back on a vendor's price increase with data in hand.

You'll join a small, fast-moving GRC and vendor management team. You won't be inheriting a rigid process you're expected to follow. Many of our processes are still being built, and you'll help shape them. This role will report to our Senior Program Manager.

What you'll own:

Software and licensing

  • Maintain our application inventory and know who uses what
  • Manage entitlements, true-ups, and seat recovery so we stop paying for software nobody's using
  • Run the renewal calendar and start every renewal early, so we negotiate with leverage and not a deadline

Hardware

  • Own the workstation inventory and laptop procurement from purchase through retirement

Contracts and vendors

  • Support negotiations on pricing and terms, and keep signed agreements organized and findable
  • Route purchases to the right Vibes signatory for approval
  • Draft vendor risk assessments and gather evidence for in-scope vendors and applications (GRC validates it)

Spend and people operations

  • Track software and hardware spend against plan, and flag problems early with a recommendation attached
  • Connect access, licenses, and equipment to onboarding and offboarding, so new hires are productive on day one and departures are clean

What success looks like:

  • No surprise renewals, missed notice windows, or wrong seat counts
  • Measurable savings from seat recovery and stronger negotiations
  • Internal teams who see procurement as a helpful partner, not a roadblock

You might be a fit if you:

  • Have 2+ years in software asset management, IT procurement, or vendor management, ideally at a SaaS-heavy company
  • Have worked renewals or negotiated pricing and terms, and are comfortable with auto-renewals, notice periods, price caps, and true-ups
  • Are strong in spreadsheets: you can analyze usage data, recover seats, and model future spend
  • Have worked with identity or SSO tools like Okta, Google Workspace, or Microsoft Entra

Bonus points for: hardware lifecycle experience, reading a SOC 2 report and spotting what matters, or experience with POs, invoice matching, or RFPs.

How we work:

  • Detail-obsessed, because it matters. A missed date or a wrong seat count costs real money, and you treat it that way.
  • You spot savings and risks early and arrive with a recommended solution.
  • Direct and kind. You're professional and firm with vendors, and warm and responsive with colleagues. Internal teams are your customers.
  • Self-directed and adaptable. You keep many threads moving at once, learn fast, and stay steady when priorities shift.
  • Honest and reliable. You do what you say you'll do and treat people well.

Our Core Values:

  • Respect, honesty, and integrity for all stakeholders
  • Always be learning
  • Relentless focus on the customer
  • Never be satisfied
  • Create value
  • Seek accountability and ownership
