Role Overview:

The Residential Administrative Assistant – Case Coordinator supports the overall functioning of the unit by performing administrative and office support duties that include directing phone calls, correspondence, and written communications, greeting visitors, preparing flyers, reports, invoices and check requests, maintaining and updating the monthly Child and Family Team meeting (CFT)/NSP schedules, and providing assistance with Quality Management activities. In addition, responsible for working with the treatment team to ensure the provision of clerical case coordination services for youth in the residential treatment program in accordance with policies and the clients’ treatment plans. This position must consistently demonstrate Vista Del Mar’s trauma informed, relationship based, and culturally sensitive approach when engaged with others.

Essential Job Duties (other duties may be assigned)

  • Demonstrates knowledge and ability to effectively use computer and program software as needed.
  • Ensures that filing is upkept accurately and on a weekly basis.
  • Engages with others in person and on the phone in professional manner, maintaining confidentiality and takes detailed and accurate messages as indicated.
  • Formulated and distributes monthly CFT meeting / NPS schedules and issues invitations to parents / guardians and placement workers as applicable and in a timely manner
  • Inputs Unusual Occurrence Reports (UORs) and other documents in a timely and thorough manner as per agency policy.
  • Demonstrates dependability and trustworthiness, including consistent work attendance and arriving on time each day.
  • Exhibits positive attitude/job interest, initiates and accepts new ideas and changes.
  • Demonstrates the ability to work collaboratively with staff, both within the unit and with the agency through effective communication and following directives.
  • Update Minute order list for client’s court hearings
  • Process admissions, discharge, annual, and aftercare packets.
  • Weekly note auditing in Tier
  • Support Unit Director in additional programmatic tasks that are needed.
  • Obtain signature on the IHBS CTP and will create CTP in Tier
  • Other duties may be assigned as per department need.

What You Bring to VDM:

  • Knowledge/proficiency in utilizing Microsoft Word, Excel, Access.
  • Ability to communicate effectively with others.
  • Excellent organizational and time management skills.
  • Excellent work ethic.
  • Highly responsible and reliable.
  • Detail oriented.
  • Ability to handle multiple tasks simultaneously.
  • Ability to work in a fast-paced environment.
  • Excellent communication and written skills.
  • Familiar with DCFS and DMH documentation preferred.
  • Bilingual – Spanish/English preferred.
  • HS Diploma

Salary commensurate with experience

Pay Rate: $26.00 - $26.50 / hour
