Position Overview
The Accountant Analyst I handles budgeting, billing, accounting, analysis, and financial reporting for assigned programs. This individual will work directly with the appropriate program heads to prepare internal budgets for each program cost center. S/he is responsible for timely preparation and submission of required billing and/or financial reports for the appropriate funding entity. S/he will ensure that revenue and expenses for these programs are promptly and accurately recorded including all necessary adjusting journal entries, to ensure that financial results are correctly represented. This person will provide monthly budget versus actual comparison analysis reports for their assigned programs. S/he will meet regularly with program staff to discuss financial results and provide meaningful information for fiscal decision-making, planning, and to ensure compliance with VDM and funder protocols. S/he is also responsible for monitoring and managing program receivables and other pertinent balance sheet accounts.
Essential Job Duties (other duties may be assigned):
- Understand and ensure compliance with assigned program funding contracts including financial, billing, and reporting policies, procedures, and requirements. Attend related webinars and other training courses.
- Actively seek knowledge and understanding of programs’ purpose, scope of work, deliverables, staffing, and other key factors, to ensure accurate budgeting, coding, and reporting. Establish collaborative relationships with program staff to evaluate, monitor and improve internal systems and controls.
- Work with program staff to draft internal budgets for assigned program using the budget system, Questica Budget. Document all budget assumptions, notes, and key data. Use appropriate service data to calculate revenue, staffing ratios, and other related costs.
- Prepare monthly, quarterly, semi-annual and/or annual financial funder reports and billing invoices as required.
- Monitor biweekly payroll reports to ensure that all staff working in assigned programs are consistently expensed to the correct salary line and cost center, and that all payroll related taxes and benefits are correct. Follow up on employee changes to ensure that both the payroll system (Paycom) and budget system (Questica) are up to date, in sync, and accurate.
- Routinely analyze budget versus actual variances for assigned programs. Prepare correcting journal entries as necessary. Summarize and document significant expense variances in Questica.
- Prepare monthly journal entries to record revenue, receivables, and cash receipts for assigned programs. Track invoices, credits and payments so that receivables balances are properly maintained.
- Prepare monthly account reconciliations to ensure accuracy and timely resolution of program related balance sheet accounts.
- Meet, at minimum, quarterly with program directors to review the year-to-date financial status for the programs they manage. Provide meaningful analysis and information to ensure accurate financial planning, compliance, and decision-making.
- Prepare for and participate in audits from program funders and our annual auditors. Routinely update audit schedules for assigned programs, maintain important documents and financial records, and comply with internal policies and procedures
- Become proficient with all financial systems including Blackbaud Financial Edge accounting, Questica Budget, and Paycom to efficiently and accurately post entries, review activity and run queries/reports.
- Prepare ad-hoc reports for government, grant, other funding sources, and/or special projects as requested by the Sr Director of Budget and Financial Reporting;
What You Bring to VDM:
- Bachelor’s degree in accounting or finance, or equivalent relevant work
- Excellent Excel and computer skills, experience financial systems.
- Three or more years of mid-level accounting experience, preferably in a non-profit accounting environment.
- Strong analytical, written, and verbal communication
Salary: $68,640.00 - $72,000.00 / annually
