It is a hub of activity, events, and collaborations - bringing together women leaders and their allies to tackle the world's greatest challenges.
Summary
The Program Assistant will report to the Manager of Leadership and Social Impact and will support day-to-day implementation of the WomenLeaders India (WLI) Fellowship, a country-specific fellowship dedicated to advancing women's leadership in India. The role will provide administrative, logistical, communications, data management, and event coordination support to help ensure organized systems, responsive participant engagement, and high-quality delivery of virtual and in-person program activities. The Program Assistant will work closely with the WomenLeaders India Fellowship teams in the United States, the program partner team in India, cross-functional Vital Voices teams, trainers, and participants to effectively serve women leaders in India and across the Vital Voices network. Remote candidates will not be considered.

- Program Logistics: Provide logistical and administrative support for virtual and in-person WLI Fellowship activities, including workshops, webinars, meetings, convenings, participant touchpoints, and India-based program events.
- Event & Travel Coordination: Support staff, participant, and trainer logistics, including travel arrangements, accommodations, ground transportation, meeting schedules, venue support, vendor coordination, supplies, and program materials.
- Administrative Support: Maintain calendars, meeting notes, action items, shared files, process documentation, participant records, and program materials to support efficient day-to-day operations for the WLI team.
- Participant Support & Communications: Respond to participant inquiries, draft and send reminders, organize materials, coordinate follow-up, and help ensure participants receive timely and accurate information.
- Recruitment & Selection Support: Assist with participant recruitment, application tracking, selection logistics, applicant communications, and documentation for WLI Fellowship cohorts.
- Communications & Visibility: Draft, copy edit, and organize program materials, social media inputs, blogs, toolkits, participant-facing resources, and storytelling content in coordination with the Communications team.
- Data Management & MERL: Support monitoring, evaluation, research, and learning activities by tracking participation, updating Salesforce, Airtable, and other internal databases, distributing surveys, organizing feedback, and maintaining accurate program data.
- Finance & Procurement Support: Assist with routine financial and administrative tasks, including invoice processing, expense documentation, vendor coordination, contract tracking, and coordination with Finance as needed.
- Technology & Digital Tools: Support virtual meetings, webinars, digital learning tools, shared file systems, online engagement spaces, and other platforms used for program coordination and participant engagement.
- Cross-Functional Collaboration: Work collaboratively with the Leadership and Social Impact team members, Finance, Development, Communications, and other internal teams to advance shared program objectives.
- Provide support for department activities.
- Other duties as assigned.
Qualifications:
- Bachelor's degree in international relations, international development, women's and gender studies, communications, nonprofit management, or a related field preferred; equivalent experience may be considered.
- 0-2 years of experience in administrative, programmatic, logistical, communications, or event support roles, preferably in a nonprofit, mission-driven, international development, or women's leadership context.
- Experience supporting virtual and/or in-person program activities, including scheduling, materials preparation, participant communications, and logistics.
- Demonstrated interest in global women's issues, women's leadership, women's entrepreneurship, civil society, social impact, and/or advancing the United Nations Sustainable Development Goals.
- Experience coordinating logistics for programs, including travel, accommodations, meeting preparation, vendors, supplies, or participant support, preferred.

- Ability to prioritize tasks, swiftly shift priorities, and work in a fast-paced environment with tight deadlines, sometimes under difficult or challenging circumstances.
- Demonstrated cultural sensitivity and self-awareness, with the ability to work respectfully with individuals from diverse backgrounds and contexts.
- Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, and database software (i.e., Salesforce).
- Experience working in or with India, South Asia, or India-focused leadership, entrepreneurship, civil society, or international development programs preferred.
- Hindi or other relevant Indian language skills preferred.
This position is a full-time, non-exempt hybrid position based in Washington, DC with two days of required in person attendance at the Vital Voices Headquarters. This position is a pending hire contingent upon funding availability. This role requires regular availability to work hours that overlap with the India Time Zone to support coordination with India-based participants, partners, and trainers. If and when it is safe to travel, domestic and international travel up to 30% may be required for the position.
The anticipated starting salary for this role is $51,400, with flexibility up to $63,300 for candidates who bring additional experience, skills, or qualifications beyond the core requirements of the position.
