Sales and RFP Support Specialist (Maternity Leave Cover)

Vivvi is reinventing child care and early learning for today’s families. We partner with employers and institutions to make exceptional early childhood education more accessible and affordable. Our Revenue team is growing, and we’re seeking a temporary Sales and RFP Support Specialist to support our Sales team during one of our team members’ parental leave.
About the role
This is a temporary position for a maternity leave cover (6 months) with potential for extension. The role is remote-friendly within the U.S., with an option to work from our NYC office. This role provides critical support to Vivvi’s Sales team to ensure we show up to every client opportunity with excellence. The Program Operations Specialist will support the end-to-end sales process by assisting with RFP submissions, coordinating meeting logistics, preparing customized presentations, and responding to prospect requests. This role is essential to helping Vivvi convert new business by enabling our team to deliver timely, accurate, and tailored materials.
In this role, you will
- Support the development and submission of RFPs, including coordination of inputs, formatting, and compliance review in partnership with cross-functional teams
- Prepare customized sales presentations, one-pagers, and supporting materials for prospect meetings
- Track deliverables and follow-ups from sales meetings to ensure timely responses to prospects
- Collaborate with Sales, Marketing, and Client Success teams to gather and package relevant content
- Join internal meetings to manage timelines and ensure visibility of outstanding items
- Conduct demographic and coverage analyses to support sales conversations
- Respond to internal inquiries regarding backup care programs, logistics, and implementation planning

- Have 2–4 years experience in sales operations, proposal coordination, or program/project support, ideally (though not required) in benefits sector
- Are Highly organized and detail-oriented, with experience managing documentation and deliverables across stakeholders
- Are Proficient in Google Workspace and HubSpot (required)
- Are familiar with Loopio or other RFP response software (preferred)
- Possess Excellent written and verbal communication skills
- Are able to work independently in a fast-paced, mission-driven environment
- Experience in employer sponsored child care benefits space, selling into Human Resources teams, or HR Tech is preferred
- Prior exposure to RFP processes, sales enablement, or pre-sales workflows is preferred
Compensation: $50,000–$57,500 annually, pro-rated for the duration of the engagement
Classification: Non-Exempt
Expected Hours of Work: Full-time (40 hrs/week) for 6 months
Location: Remote (U.S. only) or hybrid from NYC
