Executive Assistant

San Francisco

About Voio

Voio is a standard-of-care company, building AI to elevate the practice of medicine across whole clinical specialties and disease systems. Starting with radiology, we are building comprehensive AI models that can read every imaging modality and produce radiology reports better than the standard of care today. The same AI powers a suite of prognostic tools that predict future disease and treatment outcomes, enabling a new generation of AI-based clinical guidelines. Voio also leads the definitive clinical trials that prove each leap in what's possible for patients.

Our work began at UC Berkeley and UCSF, where the early foundation models, prognostic models and clinical trials were first launched. Today we build the full stack in-house, from large-scale vision models and evaluation systems to the product radiologists rely on every day.

The Role

The Executive Assistant provides direct administrative support to the executive team (CEO, CTO, Medical lead, SVP), helping them stay organized, prepared and focused on Voio’s priorities. This includes managing complex calendars, coordinating travel, preparing meeting materials and ensuring commitments receive timely follow-through.

Working closely with the executive team, the Executive Assistant develops an understanding of their priorities and working preferences, anticipates administrative needs and exercises sound judgment when schedules or requests change. The role requires accuracy, discretion and professional communication with colleagues and external stakeholders.

Executive support is the primary responsibility. The Executive Assistant also supports day-to-day operations, including office administration, vendor coordination, onboarding logistics and team events.

Responsibilities

  • Manage the executive team’s calendars, prioritizing meetings, preparation time and focused work.
  • Coordinate internal and external meetings with researchers, clinicians, investors, partners and candidates.
  • Organize agendas and meeting materials, track action items and coordinate follow-up.
  • Arrange domestic and international travel, prepare itineraries and manage changes.
  • Prepare expense reports and maintain accurate administrative records.
  • Coordinate correspondence and scheduling on behalf of the executive team within agreed authority.
  • Handle confidential information and sensitive communications with discretion.
  • Anticipate scheduling conflicts, preparation needs and administrative deadlines, escalating issues early.
  • Coordinate leadership meetings, company events and offsites.
  • Support office administration, routine purchasing and vendor coordination.
  • Assist with onboarding logistics and coordinate administrative handoffs with relevant team members.
  • Maintain clear documentation and improve recurring administrative workflows.

Why This Role Matters

Voio’s work requires close coordination across research, engineering, clinical programs and external partnerships. The Executive Assistant helps the CEO manage these demands by keeping his time organized, meetings prepared and commitments moving.

Reliable administrative support gives leadership the capacity to focus on the decisions and relationships that advance Voio’s mission.

Qualifications

  • Experience as an Executive Assistant or in a comparable administrative role supporting senior leadership.
  • Demonstrated ability to manage complex calendars, travel arrangements, meeting logistics and expenses independently.
  • Excellent organizational skills, attention to detail and consistent follow-through.
  • Strong written and verbal communication, including professional interaction with external stakeholders.
  • Sound judgment in prioritizing requests, resolving routine issues and recognizing when to escalate.
  • Demonstrated discretion when handling confidential information.
  • Ability to adapt to changing priorities and bring structure to ambiguous requests.
  • Proficiency with calendar, productivity, communication and expense management tools.
  • Experience coordinating office administration, vendors, onboarding or team events is helpful.
  • Experience in a startup, research organization or healthcare environment is helpful; a technical or clinical background is not required.
