Role Overview
We are seeking an exceptionally organized and proactive Executive Assistant (EA) to provide high-level administrative and strategic support to 1 to 2 members of our Leadership Team. This role requires strong judgment, discretion, and the ability to manage complex schedules, priorities, and communications in a fast-paced and dynamic environment. The EA will play a critical role in ensuring the smooth and efficient functioning of both executives’ offices, acting as a trusted partner and key point of coordination across teams.
Key Responsibilities
Executive Support
- Manage complex and ever-changing calendars, ensuring alignment of priorities and effective use of time.
- Coordinate travel arrangements, itineraries, visas, and accommodations, often across multiple time zones.
- Prepare agendas, briefings, and supporting materials ahead of meetings, ensuring the executives are always fully prepared.
- Attend key internal and external meetings when required, take accurate notes, and ensure action items are tracked and completed.
- Handle confidential correspondence, documentation, and data with the highest level of discretion.
Operational and Administrative Management
- Serve as the primary liaison between the executives and internal/external stakeholders.
- Maintain strong relationships with internal teams across People, Commercial, Finance, Legal, and Operations functions to facilitate seamless communication.
- Anticipate upcoming needs and proactively manage competing priorities, deadlines, and requests.
- Organize and manage logistics for leadership offsites, team meetings, and key company events.
- Support with budget tracking, expense management, and vendor coordination.
- Provide organizational support on special projects, presentations, and initiatives led by the executive(s) being supported.
Office and Culture Support (in collaboration with People Operations)
- Help drive team culture initiatives, recognition programs, and leadership communications.
- Assist with planning and execution of company-wide engagement events and leadership forums.
- Champion an inclusive, high-performance culture through proactive coordination and communication.
Skills and Qualifications
Essential
- Proven experience as an Executive Assistant or similar role supporting senior executives, ideally within a fast-paced, growth-oriented organization.
- Exceptional organizational and time management skills, with the ability to handle multiple priorities under pressure.
- Strong written and verbal communication skills; able to draft and review professional correspondence and presentations.
- High level of discretion and integrity when dealing with confidential information.
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, Calendar), and familiarity with collaboration tools such as Slack, Notion, and Asana (or similar).
- Strong problem-solving ability, adaptability, and resourcefulness.
- Demonstrated ability to build relationships and work collaboratively across teams and functions.
Preferred
- Familiarity with events planning and managing projects.
- Experience supporting multiple senior leaders simultaneously.

Reporting Line
- Reports directly to the EA Team Lead.
- Collaborates closely with other Executive Assistants, the People team, and the Commercial Operations team.
Location
- Based in London HQ with flexibility for hybrid working.
- Occasional travel may be required to support offsite meetings and events.
