Office Manager (Onsite)

Austin, TX

Office Manager (Onsite - 5 days per week)

Overview:

The Office Manager at Weedmaps is responsible for supporting the successful buildout of the company’s new office space and, following completion, overseeing day-to-day office operations and administration. During the initial months, this individual will assist in the office buildout, communicating with vendors and contractors, and helping ensure the new space is ready for occupancy. As the buildout progresses and the office becomes operational, the role will transition to a more traditional Office Manager position focused on maintaining a welcoming, functional, and well-organized workplace.

The ideal candidate is a proactive, hands-on, and highly organized professional who enjoys managing multiple priorities, solving problems, and creating a positive office experience. This individual will provide front desk and receptionist coverage, perform light facilities tasks and basic IT troubleshooting, coordinate vendors, and partner closely with the Manager, Workplace and Culture to support a world-class work environment.

The impact you'll make:

  • Office Buildout & Project Coordination: Assist in the buildout of the new office space, coordinating with contractors, vendors, property management, and internal stakeholders to track timelines, monitor progress, communicate updates, and help ensure the space is completed and ready for occupancy.
  • Day-to-Day Office Operations: Manage daily office operations, ensuring the workplace is clean, organized, fully stocked, and operating efficiently. Transition into ongoing office management responsibilities as the buildout is completed.
  • Front Desk & Reception: Serve as the primary point of contact for visitors, employees, and incoming inquiries. Greet guests, manage visitor check-in, coordinate deliveries, and provide a welcoming and professional first impression.
  • Facilities Maintenance & Workplace Support: Perform light facilities maintenance and routine office inspections, identify and troubleshoot issues, coordinate repairs with building management or external vendors, and escalate larger maintenance or safety concerns as needed.
  • Basic IT & Equipment Support: Provide first-line support for basic office technology and equipment, including troubleshooting connectivity issues, monitors, printers, conference room equipment, and other workplace technology. Occasionally serve as the on-site eyes and hands for our remote IT team, assisting with tasks such as power-cycling or checking network equipment, swapping cables or devices, receiving and setting up hardware, and connecting employees with IT for further support.
  • Vendor & Property Management: Coordinate with office service providers, contractors, vendors, landlords, and property management to support the buildout and ongoing office operations. Maintain positive vendor relationships and help ensure services are delivered effectively.
  • Office Supplies, Equipment & Inventory: Manage office supplies, furniture, equipment, and inventory, including purchasing, receiving, setup, and organization in accordance with company policies and budgetary guidelines.
  • Employee Experience & Events: Partner with the Workplace team and other internal stakeholders to support office events, employee engagement initiatives, and workplace programs that foster a positive and welcoming environment.
  • Budget & Administrative Support: Track workplace-related expenses, assist with purchase orders, invoices, vendor documentation, and contracts, and coordinate with Finance and Legal as needed to support office operations.
  • Communication & Project Management: Provide regular updates to the Manager, Workplace and Culture and other relevant stakeholders on buildout progress, facilities issues, operational needs, and outstanding projects. Prioritize competing requests and ensure tasks are completed accurately and on time.

What you've accomplished:

  • High school diploma or GED.
  • 3–5 years of experience in office administration, office management, facilities coordination, receptionist services, or a related role.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines.
  • Excellent problem-solving skills, resourcefulness, and a hands-on approach to addressing workplace needs.
  • Strong written and verbal communication skills and the ability to interact professionally with employees, visitors, vendors, and contractors.
  • Experience coordinating vendors, managing office supplies and equipment, and supporting day-to-day workplace operations.
  • Basic technical troubleshooting skills, comfort working with office equipment and conference room technology, and the ability to follow guidance from remote IT staff to complete hands-on tasks.
  • Excellent interpersonal skills and the ability to collaborate effectively with teams across the organization.
  • Ability to work on-site and adapt to changing priorities during the office buildout and transition into ongoing office operations.

Bonus points:

  • Associate or bachelor’s degree preferred.
  • Previous experience supporting an office buildout, office relocation, facilities project, or commercial office renovation.
  • Experience coordinating with contractors, property management companies, and external service providers.
  • Familiarity with basic facilities maintenance, workplace safety, and building operations.
  • Experience with visitor management systems, conference room technology, and basic IT support.
  • Previous experience as an Office Manager, Office Administrator, Workplace Coordinator, or Executive Assistant.
  • Experience supporting internal events and employee engagement initiatives.
  • Knowledge of the cannabis industry is a plus.

The base pay range for this position is $26.64 - $30.74 per hour, and a competitive bonus
