Position Overview
The Patient Scheduling Coordinator is responsible for managing all aspects of patient scheduling and registration to support smooth clinic operations and ensure a positive patient experience. This role includes receiving and processing referrals, verifying insurance, obtaining pre-certifications and authorizations, and scheduling office visits, labs, and radiology tests. The Patient Scheduling Coordinator serves as a vital point of contact for patients and clinical staff, ensuring accurate information, timely communication, and exceptional service.
Key Responsibilities
- Greet patients and patient representatives in a professional and welcoming manner.
- Verify and update demographic and insurance information.
- Schedule office visits, labs, radiology tests, internal referrals, and other appointment types as needed.
- Handle incoming phone calls and emails regarding appointment scheduling.
- Mail reminders and reschedule letters to patients.
- Notify supervisors of any scheduling issues in a timely manner.
- Provide general assistance to patients and administrative support as needed.
- Cross-train with other schedulers to support team flexibility.
- Maintain confidentiality, professionalism, and compliance with clinic safety policies.
- Attend staff meetings and assist with training and orientation of new employees.
- Perform additional duties as assigned to support the clinic’s operations.
Qualifications
Education & Experience
- Required: High school diploma or GED.
- Preferred: Six months of related experience and/or training.
- Equivalent combinations of education and experience may be considered.
Skills & Abilities
- Excellent organizational, follow-up, and problem-solving skills.
- Strong verbal and written communication abilities.
- Ability to handle multiple priorities in a fast-paced environment.
- Proficiency in computer applications including word processing and email.
- Ability to work effectively in a team-oriented environment.
- Basic math skills including addition, subtraction, multiplication, and division.
- Strong attention to detail and ability to manage routine tasks with accuracy and timeliness.
- Professional demeanor and commitment to patient confidentiality.
