Position Overview
The GynOnc Administrative Coordinator is responsible for the day-to-day coordination of administrative, operational, and scheduling activities for Gynecologic Oncology providers. This role serves as a central point of communication and coordination among providers, nursing staff, medical assistants, administrative teams, schedulers, surgery schedulers, and external partners.
The Coordinator ensures the seamless execution of provider schedules, including clinic, surgery, rounding, and call coverage, while managing meetings, travel, and departmental requests. This position requires strong organizational skills, sound judgment, and the ability to manage multiple complex workflows simultaneously to support efficient operations and high-quality patient care delivery.
Key Responsibilities
- Coordinate provider schedules, including clinic templates, surgical block time, rounding assignments, and on-call coverage in collaboration with administrative assistants and surgery schedulers
- Collaborate with surgery schedulers and clinical teams to align clinic and surgical schedules
- Monitor scheduling requests, cancellations, conflicts, and schedule changes, ensuring timely resolution and communication
- Assist with optimizing provider utilization and schedule efficiency
- Serve as a liaison between providers, nursing staff, medical assistants, administrative staff, and scheduling teams
- Interface with external facilities, referring providers, and hospitals to support coordinated patient care
- Facilitate communication across interdisciplinary teams to ensure operational effectiveness
- Coordinate meetings, calendars, and provider commitments in partnership with administrative assistants
- Confirm and coordinate provider travel logistics
- Track, prioritize, and delegate administrative and clinical requests as appropriate
- Support coordination of surgical cases and ensure schedule alignment with surgery schedulers
- Ensure necessary documentation is communicated to appropriate teams
- Manage competing priorities while maintaining accuracy and attention to detail
- Identify workflow gaps and escalate issues to the appropriate leader for resolution
- Support patient scheduling coordination, including both clinical and clerical requests
- Maintain confidentiality, professionalism, and a patient-centered approach in all interactions
- Perform all other duties as assigned
Qualifications
Education & Experience
Required:
- Associate degree; OR one year of undergraduate education; OR equivalent combination of education and experience
- Zero to three (0–3) years of related experience
- Excellent organizational and follow-up skills
- Strong verbal and written communication skills
- Strong problem-solving abilities and attention to detail
- Ability to organize and prioritize work assignments in a fast-paced environment
- Ability to manage multiple priorities simultaneously
- Ability to analyze situations and respond in a timely manner
- Ability to work effectively within multidisciplinary teams
- Ability to establish and maintain effective working relationships throughout the organization
- Proficiency in basic computer applications, including word processing and email
Work Environment & Physical Demands
- Typical clinical environment with a quiet noise level
- Ability to walk, sit, and use hands and wrists for extended periods of time
- Ability to read and understand documents such as safety rules, operating instructions, procedure manuals, and correspondence
- Ability to write routine reports and correspondence and effectively communicate information to employees, customers, and vendors
- Ability to perform basic mathematical calculations using units of currency, weight, volume, and distance
- Ability to apply common-sense understanding to carry out detailed written and verbal instructions
- Ability to resolve routine problems involving several variables
- Some travel may be required
