Training Assistant

WestCoast Children’s Clinic, located in Oakland, California, is a non-profit community psychology clinic that provides mental health services to Bay Area children, youth and families. The Training Assistant plays a key role providing overall administrative support to ensure the seamless operations of the training department. Key responsibilities include coordinating, tracking, and providing support for agency-wide training programs, program-specific trainings, and continuing education initiatives. The position also involves assisting with the administration and coordination of clinically-focused orientation sessions for new staff, as well as supporting Title IV-E trainings and CSE-IT training and site implementation. Additional duties include helping with projects related to the implementation of the Child and Adolescent Needs and Strengths (CANS) and providing support to other departments within the agency as needed.

The Training Assistant will: 

  • Assist in coordinating clinically-focused orientation trainings for new staff, including scheduling, arranging facilitators, tracking attendance and certifications, and distributing training materials. This includes in-person support at the Fruitvale office.
  • Support administrative tasks and document management for CANS-related projects, including tracking, implementation, and re-certification or training activities.
  • Review training documentation meticulously to ensure quality, regulatory compliance, and audit readiness.
  • Assist with Title IV-E training documentation and paperwork.
  • Provide exceptional customer service to external agencies, offering administrative support, tracking, and managing documentation for CSE-IT trainings and site implementations.
  • Participate in community outreach efforts (e.g., tabling) and event support (e.g., gathering signatures, sign-in sheets, evaluations) and lead new hire training activities, including check-in meetings and orientation introductions.
  • Support the agency-wide training program by managing logistical aspects, including scheduling, coordinating with trainers, and collaborating with the facilities and IT teams to ensure proper training space and materials are prepared.
  • Assist with the continuing education program, including creating necessary paperwork and maintaining accurate training records.

Key Qualifications and Competencies:

  • Preferred: Bachelor’s degree with experience in human services or social services.
  • Proven experience in program administration and operations, with a focus on training management.
  • Excellent written and verbal communication skills, with strong analytical abilities.
  • Exceptional customer service skills and ability to manage multiple tasks in a fast-paced environment.
  • Highly organized, proactive, and detail-oriented.
  • Strong team player with excellent collaboration skills.
  • Proficient in Word, Excel, and Mac OS.

Position Details and Compensation:

This is a full-time (M-F), hourly position, and requires some in-person work. Hourly rate starting at $25.00-$27.00 per hour and includes benefits package, 403b retirement contribution and performance-based compensation plans.
