Position Details 

Title: Training Assistant

Classification: Full time (1.0 FTE) Non-Exempt (Hourly), 40 hours per week

Location: Oakland, CA / Hybrid (with required in-person work at our offices in Oakland) 

Regular Work Schedule: Monday-Friday, 9:00am-5:00pm

Compensation:

  • Hourly range - $25.00-$27.00 per hour

The Training Assistant plays a key role providing overall administrative support to ensure the seamless operations of the training department. Key responsibilities include coordinating, tracking, and providing support for agency-wide training programs, program-specific trainings, and continuing education initiatives. The position also involves assisting with the administration and coordination of clinically-focused orientation sessions for new staff, as well as supporting Title IV-E trainings and CSE-IT training and site implementation. Additional duties include helping with projects related to the implementation of the Child and Adolescent Needs and Strengths (CANS) and providing support to other departments within the agency as needed.

The Training Assistant will: 

  • Coordinate clinically focused orientation for new staff - scheduling sessions, arranging facilitators, tracking attendance and certifications, preparing materials
  • Provide on-site support at the Fruitvale office as needed, ensuring a welcoming and professional presence in this client-facing role.
  • Handle administrative and document-management tasks for CANS projects, including tracking implementation and managing re-certification or training activities.
  • Review training documents carefully to ensure accuracy, compliance, and audit readiness.
  • Assist with paperwork and documentation for Title IV-E trainings.
  • Provide strong customer service to external partners by supporting, tracking, and managing documentation for CSE-IT trainings and site implementations.
  • Participate in outreach and event support - such as tabling, gathering signatures, managing sign-ins and evaluations - and help lead new-hire training activities, including check-ins and orientation introductions.
  • Support agency-wide trainings by coordinating logistics, scheduling, communicating with trainers, and working with facilities and IT to prepare spaces and materials.
  • Assist with the continuing education program by preparing required documents and maintaining accurate training records.

Key Qualifications and Competencies:

  • Bachelor’s degree (preferred)
  • Experience working in human or social services organizations.
  • Demonstrated experience in program administration and in program operations, especially training operations.
  • Strong written, verbal, analytic, and customer service skills.
  • Ability to multitask, stay organized, and maintain attention to detail in a fast-paced setting.
  • Proactive work style and strong collaboration/teamwork skills.
  • Proficient in Word, Excel, and Mac OS.
  • Ability to work full-time both from home and at the Fruitvale location.
