CMMS/EAM Administrator

The CMMS/EAM Administrator is responsible for managing and maintaining the company's assets and spare part inventory using the UpKeep CMMS software. The successful candidate will play a key role in training new UpKeep users, ensuring data accuracy and implementing standard workflows for work requests, preventive maintenance programs, project requests, inspections, and more. This role is also critical in supporting compliance by ensuring maintenance activities and work orders are accurately documented, tracked, and completed in alignment with regulatory and operational requirements.

Key Responsibilities:

  • Maintain site and asset data accuracy by collecting and updating information, ensuring equipment is properly labeled or barcoded.
  • Design and manage preventive maintenance plans, schedules, and routes for assets.
  • Handle incoming work orders, prioritize as needed, and maintain data accuracy for work orders.
  • Ensure compliance-driven work orders are created, tracked, and completed on time to meet regulatory, safety, and operational standards.
  • Monitor and report on work order compliance metrics, identifying trends and collaborating with teams to address delays or non-conformance to ensure continuous improvement and regulatory adherence.
  • Develop maintenance checklists and support management in reviewing work order data.
  • Schedule and assign work, and manage work orders from creation to closure.
  • Maintain the accuracy of spare parts data, including min/max quantities, pricing, manufacturer, and part numbers.
  • Generate requisitions, POs, and PO receipts in UpKeep and ERP systems.
  • Collaborate with the maintenance team to develop critical spare parts lists and improve parts quality.
  • Audit spare parts management process through regularly scheduled cycle counts.
  • Roll out new functionality, standards, preventive maintenance procedures, and maintenance analytics and reporting.
  • Provide software training to end users and new administrators and serve as a liaison for problem-solving and escalation.
  • Coach and educate staff on UpKeep CMMS functions and best practices.

Requirements:

  • Strong organizational and excellent communication skills
  • Strong computer skills and proficiency in CMMS software
  • Positive attitude and ability to work well in a team environment
  • Associate’s degree in industrial maintenance, engineering technology, information systems, or a related field is required; a Bachelor’s degree is preferred
  • 3-5 years of experience in a maintenance role, with user or administrator experience in CMMS software
  • Ability to handle a fast-paced, dynamic environment
