Project Coordinator - Architecture

We are seeking a motivated and organized Project Coordinator to join our team and support the efficient execution of our projects. As a Project Coordinator, you will assist project teams in managing and coordinating projects from inception through completion. Your role will involve handling administrative tasks, ensuring effective communication among team members, and supporting project managers in maintaining project schedules and budgets. You will be a key player in ensuring that projects are delivered smoothly and meet the firm’s quality and client satisfaction standards.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to project managers and teams, including scheduling meetings, organizing project files, and preparing documentation.
- Project Coordination: Coordinate project activities, ensuring that tasks are completed on schedule and that all team members are aware of their responsibilities.
- Document Management: Maintain and manage project documentation, including contracts, reports, drawings, and correspondence, ensuring it is accurate and up to date.
- Communication: Facilitate clear and effective communication among project stakeholders, including internal teams, clients, and external partners.
- Budget Assistance: Help track project budgets and expenses, prepare financial reports, and assist in managing procurement and invoicing processes.
- Meeting Facilitation: Schedule and organize project meetings, prepare agendas, document meeting minutes, and follow up on action items.
- Vendor and Consultant Liaison: Coordinate with vendors and consultants to ensure timely delivery of services and materials and assist in resolving any issues.
- Quality Control: Support the project team in ensuring project deliverables meet the firm’s quality standards and client requirements.
- Risk Management: Assist in identifying potential project risks and developing strategies to address them.
- Reporting: Prepare and distribute project status reports and updates to stakeholders, ensuring that progress is communicated effectively.
Qualifications:
- Education: Bachelor’s degree in business administration, architecture, construction management, or a related field preferred.
- Experience: 2+ years of experience in project coordination or a similar administrative role within the design, construction, or architecture industry.
- Organizational Skills: Excellent organizational and multitasking abilities, with keen attention to detail and the capacity to manage multiple priorities.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with team members, clients, and stakeholders.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., MS Project, Asana). Familiarity with design software (e.g., Revit, InDesign, AutoCAD) is a plus.
- Problem-solving: Proactive problem-solving skills, with the ability to anticipate issues and develop practical solutions.
- Team Player: Collaborative and adaptable, working effectively in a team-oriented environment.
Salary Range: $55,000 - $80,000. Individual pay will be based on several factors including experience, knowledge, skills, and abilities of the applicant.
