
Executive Assistant
Wight & Company is a leading integrated design and delivery firm with offices in Darien and Chicago. We are seeking a highly organized, proactive, resourceful, and energetic Executive Assistant in our Darien Office to support our dynamic President/COO. This is a unique opportunity to become an indispensable partner to senior leadership, ensuring smooth operations and enabling strategic focus.
ESSENTIAL RESPONSIBILITIES
As an Executive Assistant, you will manage a wide range of responsibilities that require discretion, initiative, and exceptional organizational skills. Your role will include:
- Calendar & Scheduling: Coordinate complex scheduling for professional and personal commitments, including internal and external meetings, events, and travel arrangements.
- Gatekeeping: Act as the primary point of contact for internal teams and external clients, ensuring timely communication and confidentiality.
- Meeting Preparation: Prepare agendas, presentations, schedules, and briefing materials for meetings; ensure follow-up actions are completed.
- Administrative Support: Take dictation, handle and respond to correspondence, manage budget, create spreadsheets, process expense reports, and support the President’s outside Board Meetings.
- Project Coordination: Assist with strategic initiatives and special projects, ensuring deadlines are met and deliverables are high-quality.
- Personal Assistance: Support personal tasks such as reservations and personal travel.
- Travel Management: Organize domestic and international travel, including flights, accommodations, and itineraries.
BACKGROUND & EXPERIENCE EXPECTATIONS:
- Experience: Minimum 8+ years in an Executive Assistant or Personal Assistant role supporting senior leadership.
- Skills:
- Exceptional organizational and time-management abilities
- Strong interpersonal skills and professional demeanor
- Excellent written and verbal communication skills
- Ability to adapt to changing priorities and anticipate needs
- High level of discretion and confidentiality
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

Salary Range: $75,000 - $110,00. Individual pay will be based on several factors including experience, knowledge, skills, and abilities of the applicant.
