Location and Flexibility
Our Senior Talent Recruiter is an integral part of our Employee Experience Team at WillowTree. To help retain our deep culture of collaboration, this role will maintain an in-office presence in a hybrid three days a week capacity in our Charlottesville, VA office.
The Opportunity
We're seeking a Senior Talent Coordinator to enhance our global Talent Acquisition team. In this role, you'll orchestrate end-to-end hiring experiences from application to onboarding, working with candidates, hiring managers, and interviewers worldwide. Your focus will be on delivering exceptional candidate experiences, managing executive-level recruitment logistics, and optimizing talent operations.
Responsibilities
Interview Coordination & Logistics
- Manage complex virtual and on-site interview scheduling across global offices
- Coordinate with executive assistants, Travel, IT, and Facilities to ensure seamless interview experiences
- Organize comprehensive candidate experiences including office tours, agendas, lunches, conference rooms, and travel itineraries
- Maintain proactive communication with all stakeholders, handling last-minute schedule changes and special requests
Process Management & Improvement
- Oversee interview team capacity and readiness to meet hiring demand
- Manage referral programs and support recruitment velocity through talent mapping, sourcing, and various operational tasks
- Document processes and best practices in company Wiki
- Develop and conduct training for TA team and interviewers on systems and interview best practices
- Analyze candidate feedback and metrics to enhance recruitment processes
Systems & Data Management
- Ensure data accuracy across ATS and HRIS platforms
- Maintain system hygiene and resolve technical issues
- Create and manage communication templates for candidates and interviewers
- Troubleshoot and resolve issues related to interview tools including access, video conferencing, calendar management, and more
Qualifications
- 3+ years in talent acquisition, recruitment coordination, or similar roles
- Expert calendar management and conflict resolution skills
- Strong organizational and prioritization abilities
- Excellent communication skills across all organizational levels
- Problem-solving mindset with attention to detail
- Proficiency in G-Suite
- Availability for in-office candidate interviews
- Demonstrated ability to handle ambiguity and change
- Strong written communication skills
- Can anticipate and get ahead of the needs, questions, and expectations of candidates and stakeholders to prevent chaos and confusion
Bonus Points
- Experience with ATS and scheduling software
- Analytics and reporting capabilities

$68,000 - $78,000 USD
